The Administrative Assistant is responsible for providing day-to-day administrative support to the firm. Our administrative team supports our professional staff with the goal of maximizing efficiency, enabling tax prepares to leverage their time effectively.

During tax season, the admin's duties will consist primarily of assembling tax returns, scanning client documents to our digital filing system, logging tax return status, maintaining the paper file system, organizing staff dinners, ordering supplies and occasional ad hoc projects as needed.

Essential Functions : Responsibilities that must be performed by this position.

  • Handles private privileged and sensitive information with absolute confidentiality.
  • Serves as a point of contact for clients both in the office and on the telephone, including screening phone calls, ensuring client messages are communicated to the appropriate client service staff, and following up with clients, when appropriate.
  • Assists with meeting, conference, and special event coordination, including reserving conference rooms, teleconference, email announcement to meeting participants, and food and beverage service.
  • Assembles Tax Return, Payroll, Financial Statements, and other presentation materials.
  • Maintains work-in-process status in our workflow management software.
  • Scanning of daily documents.
  • Ordering, receiving, stocking, and distribution of office & breakroom supplies.
  • Ensures the timely delivery of completed tax returns by mail, overnight courier services or special delivery.
  • Pick-up and delivery of supplies, and / or food & beverage service.
  • Special projects as assigned by the Partners, Managers, or Firm Administrator.
  • Maintains a clean and orderly work environment.

  • Minimum Position Qualifications : Minimum qualifications required for this position.

  • EDUCATION : High School Diploma or equivalent required.
  • EXPERIENCE : 3-5 years of prior administrative experience.
  • Preferred Position Qualifications : List of preferred qualifications required for this position.

  • Working knowledge of MS Office (primarily Word, Outlook, PowerPoint and Excel)
