We are looking for a meticulous Project Assistant to join our team in Irvine, California. This is a long-term contract position, offering a chance to work onsite and support executives in a dynamic and collaborative environment. The ideal candidate will excel in administrative coordination, project management, and vendor relations while maintaining high levels of attention to detail.
Responsibilities :
- Provide administrative support to the Vice President and other executives, including scheduling meetings and managing calendars.
- Coordinate and oversee various projects, ensuring timelines and deliverables are met.
- Handle vendor relations by communicating effectively and managing contracts.
- Prepare and draft precise correspondence, reports, and presentations.
- Utilize advanced Excel functions, such as pivot tables and VLOOKUP, to analyze and organize data.
- Manage electronic document signing processes using DocuSign and Adobe Acrobat.
- Assist in the planning and execution of events and meetings held throughout the year.
- Maintain organized records and ensure all documentation is scanned and properly archived.
- Collaborate with team members to ensure seamless workflow and communication.
- Support construction-related projects by managing schedules and timelines.
- Advanced proficiency in Microsoft Excel, including the ability to create pivot tables and use VLOOKUP functions.
- Experience with Adobe Acrobat and DocuSign for document management.
- Demonstrated ability to manage multiple projects and meet deadlines effectively.
- Strong organizational and communication skills, both written and verbal.
- Previous experience in vendor relations and contract management.
- Familiarity with project coordination and scheduling tools.
- Ability to work onsite in Irvine, California on a permanent basis.
- Detail-oriented demeanor and ability to work in a family-oriented, business casual environment.
