Job Summary :
Supports the Design & Visual Arts Chair and Music & Theatre Chair and faculty in those departments by serving as administrative support in all phases of work in the department.
Duties / Responsibilities :

- Provide comprehensive administrative support to department chairs and faculty in the Art, Music, and Theater departments.
- Offer general office assistance, including mail processing, phone inquiries, ordering supplies, and coordinating departmental mailings.
- Be personable and approachable, demonstrating the ability to collaborate effectively with both students and faculty, while being proactive and consistently taking initiative.
- Be prompt with communication.
- Organize and manage various department initiatives as assigned, including but not limited to managing the jury schedule for applied music lessons, filling out forms as needed, tracking student progress, managing the Music Activity Grant Auditions and Theatre Auditions, maintaining and tracking grant recipients and their compliance, monitoring student attrition, and handling concert and performance event coordination, etc.
- Additional responsibilities may include assisting with budget operations, collaborating with the Office of Development and Alumni Relations for donor gift reporting and follow-up correspondence, and maintaining piano tuning schedules and arrange ongoing maintenance for all pianos in the Mabee Center.
- Other duties as assigned.

Excellent computer skills and proficient in the use of all components of Microsoft Office; good design capability, and prior web experience helpful; interest in continual acquisition of skills.Ability to use a copy machine.Excellent written communication and proofreading skills and attention to detail.Ability to maintain confidentiality of all materials handled and seen in process of performing job responsibilities.Ability to have professional appearance for greeting students, faculty and campus visitors.Ability to handle stressful situations in a calm, orderly, and accurate manner, to complete work on time and to amicably deal with the public.Ability to work independently in order to organize and prioritize workload.Analytical skills are necessary for maintaining records and preparing reports.Understanding of program deadlines and the academic process related to the programs of the department.Ability to prepare reports, business correspondence, and procedure manuals.Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule format.Ability to be creative and flexible.Ability to establish good rapport with students and faculty.Education and Experience :
High school diploma or equivalent and three years proven administrative experience, or an equivalent combination of education and experience is required. Post-secondary education or associate’s degree preferredSupervisory Responsibilities :
Directly supervises student staff. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
