THIS IS THE ACTUAL TITLE - Facilities Coordinator II
will support the facilities team for the Chelmsford MA site. You will be responsible for our CMMS database and scheduling between Departments and Vendors. They will require a high degree of initiative, strong communication skills, experience in Microsoft Office (especially in Outlook, Word and Excel), and resolving problems.
What will you do?
- Maintain scheduling and task management through our CMMS (computer maintenance management system) to keep track of assets, corrective and preventive maintenance activities.
- Schedule and coordinate work for outside vendors and Facilities technicians with appropriate work-center Supervisors on our CMMS database
- Manage the Facilities group calendar including PTO, contractor visits, site events needing support, and the working location of team members on a given day.
- Provide support for critical documents and always filing and maintaining records in an audit ready state following Good Documentation Practices.
- Maintain and update departmental standard operating procedures (SOP’s).
- Prepare and maintains monthly metrics for the department.
- Partner with other site administrative support in the orchestration of meetings, report generation and projects.
- Create purchase order requisitions and process of invoices for payment via our portal
- Ensure timely completion of activities and projects; maintain follow-up on all electronic and written correspondence.
- Purchase office equipment and supplies for the department(s).
