Job Title : Exercise Science Department Administrative Support

Join an exciting and forward-thinking Exercise Science Department. Under minimal supervision, provide administrative support for the Department faculty and staff. Work and communicate with all levels of administration, faculty, staff, and students in all areas that affect the Department. Manages budget, inventory, purchasing, maintenance, and storage of department equipment and spaces. Manages instructor substitutes and work study students. Manages off-site contracts for activity classes.

Essential Duties & Responsibilities :

  • Manage general office affairs and communication providing high level support using independent judgement.
  • Manage off-site contracts for activity classes.
  • Perform functions to compile, write and edit quality finished memoranda, correspondence, reports, etc. using word processing and spreadsheet software.
  • Operate department email, screen calls, record messages, enter data, prepare and write reports / graphs, receive and distribute mail, compose business correspondence. Prepare support materials, brochures and pamphlets. Maintain frequent college-wide and community contacts.
  • Trains office support and manages office coverage.
  • Supervise work-study and part-time employees (procurement, hiring, and monitoring hours). Schedule substitute instructors as needed.
  • Assist with managing all aspects of moderately complex budget and expenditures.
  • Process hiring paperwork / adjunct contracts.
  • Input payroll / leave time into college system.
  • Assist with travel arrangements for department faculty, and staff as deemed necessary.
  • Assist Associate Dean in managing Exercise Science department Programs and classes. May assist Associate Dean with faculty process including tenure, rank advancement, sabbatical leave, curriculum, student evaluations, etc. May be responsible for calendaring / scheduling meetings and appointments for Associate Dean.
  • Help maintain (organize and some cleaning) of department storage and lab spaces. Assist Lab Coordinator in management of equipment including : purchasing, inventory, maintaining, and organization. Help maintain various sound systems for activity classes at Taylorsville Redwood, Jordan, and South City campuses.
  • Take minutes, process and distribute minutes from Department meetings, PAC meetings, and other meetings as needed. Maintaining and archiving department records and files.
  • Other duties as assigned.

  • Knowledge of office methods, equipment, practices and procedures.
  • Interpersonal problem solving and public relations skill.
  • Intermediate knowledge of budget / accounting procedures.
  • Good communication, human relation and customer service skills.
  • Ability to work independently and demonstrate planning and organizing, problem solving and creative skills.
  • Reliability, dependability, flexibility and personal initiative are essential.
  • Ability to handle work of a confidential nature.
  • Ability to utilize computer applications (Microsoft Word, Excel, PowerPoint, Outlook, and database systems like Banner) and web applications such as Microsoft Teams and Zoom.
  • Familiar with college policy and procedure.
  • Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College.
  • Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.
  • Minimum qualifications :

  • Associate Degree in closely related field.
  • Two (2) years of full-time, directly related experience.
  • Trade off 1 : 1 in experience / education requirement. One year of education equals 45 quarter or 30 semester credit hours. Part time related work experience may be substituted for full time work experience on a prorated basis.
  • Preferred Qualifications :

  • Degree in exercise or health field
  • Experience supporting faculty and / or high level executives
