Patient Scheduler

Job Description :

  • Manage a high-volume multi-line phone system for incoming calls and coordinate an appropriate date and time with patient or client, based on the exam being requested. Documenting and communicating internally.
  • Relay appropriate protocol for exam prep and ensure patient demographics are updated correctly within EHR / EMR system. Giving the appropriate exam prep and directions to event or site patient is scheduled.
  • If applicable to the exam patient / client is requesting, to obtain referral status and work with patient to retain as needed for our records.
  • If applicable to the exam patient is requesting, obtain prior exam location and request from facility at the time of schedule.
  • Must prioritize patients’ needs to determine when an immediate slot should be found or if a patient can come in based on the current schedule we have for that area.
  • Manage cancelations, including an event that may need to reschedule a full day, finding the best alternatives for all involved.
  • Make outbound calls based on lists received by insurance, clients, and company historical lists. Scheduling appropriate exam for a date and time the patient or client is requesting. Giving the appropriate exam prep and directions to event or site patient is scheduled.
  • Make reminder calls to current or future patients on the date and time patient is scheduled for in our or a client’s system. Reminding patient appropriate exam prep and directions to event or site patient is scheduled.
  • Work in a partnering client’s system to schedule, reschedule, cancel or call appointment reminders to patients in their system.
  • Offer services that we as a company provide throughout the area we operate in.
  • Enter new events or sites across the different programs we utilize.
  • Learn any update processes to equipment and or programs new or old to better facilitate patient care.
  • Compiling, verifying accuracy and sorting information to prepare source data for computer entry on all patient exams.
  • Reviewing data for deficiencies or errors, correcting any incompatibilities, and checking output. Documenting across all programs for all changes to patient chart.
  • Follow up on any requests or discrepancies needed to patient chart.
  • Manage and update daily workflow.
  • Always follow HIPAA guidelines.
  • Must have general understanding of scheduling
  • Must have ability to multitask, excellent time management, and organizational skills.
  • Must have strong customer service and communication (written and verbal) skills
  • Must have strong computer knowledge (Microsoft office suites, Outlook email, PACS, google docs and reporting software).
  • A basic understanding of radiology X-ray, ultrasound, mammography a plus.
  • Must have extreme attention to detail and accuracy skills.
  • Other responsibilities as assigned.

May be required to help in other area of the company such as :

  • Compile medical records. Both analog and digital images, patient reports, verify, and maintain all records.
  • Burn digital images to disc, as well as send via VPN for distribution.
  • Uploads outside images and reports.
  • E ducation and Experience

  • High School degree or equivalent
  • Minimum of 1 year of prior medical scheduling experience preferred.
  • High proficiency of PC systems, tools, and applications.
