Job Description

The Business Associate I provides support to the IR (Information Resources) Department an its mission by processing requests, invoices, payments and inventory.

Responsibilities :

IR Department Support :

  • Answer and distribute all incoming calls to IR staff.
  • Order and stock office supplies.
  • Administer all office equipment and ensure operability.
  • Prepare and process purchase requisitions, purchase, travel and credit card vouchers.
  • Maintain hardware and software inventory for the agency and department
  • Process monthly department billing
  • Maintain archived department reports, date and files.
  • Assist in typing and proof-reading of documents, manuals, letters and reports.
  • Reconcile department expenses to FAMIS (Texas A&M University system financial management and accounting system) monthly statements.
  • Create a positive overall end user experience to deepen agency relationships.
  • Receive and process deliveries, shipments and mail services.

Special Projects as assigned

Other duties as assigned.

Education and Experience :

Required Education : High school diploma or GED

Required Experience : Associate's degree or equivalent in business or closely related field

Preferred Education : Minimum of five years of combined experience in the following areas : accounting, data entry and customer service

Preferred Experience : Four years accounting experience at a s state agency or institution of higher education in Texas

Knowledge, Skills and Abilities :

Required Knowledge : Strong knowledge of Microsoft Word and Excel

Preferred Knowledge : Familiarity of FAMIS

Required Skills : Sound judgment. Great attention to detail. Strong written, verbal and interpersonal skills. Intermediate planning and organizational skills. Self motivated.

Required Abilities : Able to work independently and on team projects. Able to perform duties proficiently, accurately and with little or minimal supervision. Ability to use independent judgement. Willing to learn. Multi-task and work cooperatively with others.

Licenses, Certificates or Registrations :

Required : Valid Texas Driver's license or ability to acquire one within 30 days of employment
