HR Coordinator
Wash Cycle Laundry is a rapidly growing social enterprise and commercial laundry service serving B2B clients in Boston and Philadelphia area. Founded in 2010 with a triple bottom line mission to create a launching pad into upwardly mobile careers for vulnerable adults and to prove that bikes could be viable alternatives to trucks for urban deliveries - we've grown to a company of over 100 employees with some serious industrial laundry equipment, evolving business process, and a desire to be the most data-driven, technology-enabled laundry company in the US.
Our factory staff come from many different backgrounds and speak many languages, especially English, Spanish and Portuguese, and about 70% of our staff speak Spanish as their primary language. We have built a bilingual admin team that can communicate with our staff in their preferred languages, and many of our management staff are also bilingual. Together, we make up a warm, open, inviting, and surprisingly global team.
Position Overview
We are seeking an organized and compassionate HR Coordinator to manage the day-to-day administrative operations of our Human Resources department. This role is essential to maintaining smooth HR operations and providing excellent support to our diverse team of employees. The ideal candidate will thrive in managing multiple priorities, demonstrate cultural awareness, and share our passion for supporting workers in a social impact environment.
Responsibilities
Employee Onboarding & Training :
- Process all new hire paperwork, ensuring accurate completion of I-9 forms, E-Verify submissions, tax documents, and company-specific documentation
- Conduct new employee introductory training sessions, covering company policies, safety procedures, and workplace expectations
- Coordinate with department managers to ensure smooth integration of new team members
- Maintain new hire files and ensure all documentation meets compliance requirements
Time & Attendance Management :
Review, approve, and correct employee timesheetsInvestigate and resolve timesheet discrepancies in collaboration with supervisorsProcess time-off requests and maintain accurate PTO recordsEnsure compliance with local labor laws regarding hours worked, breaks, and overtimeScheduling & Workforce Management :
Create and maintain weekly schedules for hourly production staffCoordinate schedule changes and shift coverage to meet production demandsProcess scheduling requests while balancing operational needsCommunicate schedule updates clearly across our multilingual workforceEmployee Relations & Support :
Serve as the first point of contact for all employee HR inquiries and requestsProvide guidance on company policies, benefits, and proceduresAssist employees with benefits enrollment and questionsAssist in incident reporting and investigationsHelp resolve minor workplace concerns and escalate complex issues as appropriateSupport communication across language barriers to ensure all employees receive necessary informationPayroll Support :
Support payroll processing by providing accurate time and attendance dataTrack and document all corrections and additions to weekly payroll draftsCollaborate with payroll team to ensure accurate and timely wage paymentsMaintain detailed records of payroll adjustments and communicate changes to appropriate partiesAdministrative Duties :
Maintain accurate and confidential employee records in HRIS and filing systemsPrepare HR reports and metrics as neededAssist with workers' compensation claims and documentationCoordinate with external vendors for benefits administration and other HR servicesEmployee Engagement & Events :
Assist with planning and coordinating employee appreciation events and recognition programsHelp organize and schedule employee training sessions and professional development opportunitiesSupport the coordination of team-building activities and company celebrationsMaintain training records and track employee participation in required programsAssist with new employee orientation logistics and welcome activitiesCompliance & Documentation :
Ensure all HR practices comply with federal, state, and local employment lawsMaintain required workplace postings in appropriate languagesAssist with unemployment claims and employment verificationsSupport audit preparations and provide necessary documentationInventory :
Conduct a weekly inventory to track the quantity of items in stockSubmit a material request in the ERP if any items are neededCreate the purchase order after receiving approvalGenerate the purchase receiptsPreferred Qualifications
