HR Coordinator

Wash Cycle Laundry is a rapidly growing social enterprise and commercial laundry service serving B2B clients in Boston and Philadelphia area. Founded in 2010 with a triple bottom line mission to create a launching pad into upwardly mobile careers for vulnerable adults and to prove that bikes could be viable alternatives to trucks for urban deliveries - we've grown to a company of over 100 employees with some serious industrial laundry equipment, evolving business process, and a desire to be the most data-driven, technology-enabled laundry company in the US.

Our factory staff come from many different backgrounds and speak many languages, especially English, Spanish and Portuguese, and about 70% of our staff speak Spanish as their primary language. We have built a bilingual admin team that can communicate with our staff in their preferred languages, and many of our management staff are also bilingual. Together, we make up a warm, open, inviting, and surprisingly global team.

Position Overview

We are seeking an organized and compassionate HR Coordinator to manage the day-to-day administrative operations of our Human Resources department. This role is essential to maintaining smooth HR operations and providing excellent support to our diverse team of employees. The ideal candidate will thrive in managing multiple priorities, demonstrate cultural awareness, and share our passion for supporting workers in a social impact environment.

Responsibilities

Employee Onboarding & Training :

  • Process all new hire paperwork, ensuring accurate completion of I-9 forms, E-Verify submissions, tax documents, and company-specific documentation
  • Conduct new employee introductory training sessions, covering company policies, safety procedures, and workplace expectations
  • Coordinate with department managers to ensure smooth integration of new team members
  • Maintain new hire files and ensure all documentation meets compliance requirements

Time & Attendance Management :

  • Review, approve, and correct employee timesheets
  • Investigate and resolve timesheet discrepancies in collaboration with supervisors
  • Process time-off requests and maintain accurate PTO records
  • Ensure compliance with local labor laws regarding hours worked, breaks, and overtime
  • Scheduling & Workforce Management :

  • Create and maintain weekly schedules for hourly production staff
  • Coordinate schedule changes and shift coverage to meet production demands
  • Process scheduling requests while balancing operational needs
  • Communicate schedule updates clearly across our multilingual workforce
  • Employee Relations & Support :

  • Serve as the first point of contact for all employee HR inquiries and requests
  • Provide guidance on company policies, benefits, and procedures
  • Assist employees with benefits enrollment and questions
  • Assist in incident reporting and investigations
  • Help resolve minor workplace concerns and escalate complex issues as appropriate
  • Support communication across language barriers to ensure all employees receive necessary information
  • Payroll Support :

  • Support payroll processing by providing accurate time and attendance data
  • Track and document all corrections and additions to weekly payroll drafts
  • Collaborate with payroll team to ensure accurate and timely wage payments
  • Maintain detailed records of payroll adjustments and communicate changes to appropriate parties
  • Administrative Duties :

  • Maintain accurate and confidential employee records in HRIS and filing systems
  • Prepare HR reports and metrics as needed
  • Assist with workers' compensation claims and documentation
  • Coordinate with external vendors for benefits administration and other HR services
  • Employee Engagement & Events :

  • Assist with planning and coordinating employee appreciation events and recognition programs
  • Help organize and schedule employee training sessions and professional development opportunities
  • Support the coordination of team-building activities and company celebrations
  • Maintain training records and track employee participation in required programs
  • Assist with new employee orientation logistics and welcome activities
  • Compliance & Documentation :

  • Ensure all HR practices comply with federal, state, and local employment laws
  • Maintain required workplace postings in appropriate languages
  • Assist with unemployment claims and employment verifications
  • Support audit preparations and provide necessary documentation
  • Inventory :

  • Conduct a weekly inventory to track the quantity of items in stock
  • Submit a material request in the ERP if any items are needed
  • Create the purchase order after receiving approval
  • Generate the purchase receipts
  • Preferred Qualifications

  • Bilingual capabilities (Spanish / English required; other languages valued)
  • Experience working in diverse, multicultural environments
  • Knowledge of employment law and HR compliance requirements
  • Experience with hourly workforce scheduling
  • Familiarity with social enterprise or mission-driven organizations

  • Working Conditions

  • 100% in person at an industrial laundry facility (9am - 5pm)
  • Regular interaction with production floor employees
  • Standard business hours with occasional early morning or evening availability required
  • May require standing, walking, and moving throughout the facility
  • Annual Salary : $50,000 - $60,000

    Starting date : 22nd September 2025
