Description : SUMMARY

Reporting to the Vice President of Advancement, the Advancement Coordinator plays a key role in strengthening the efficiency and impact of the Advancement team. This position enhances systems, streamline donor engagement processes, and supports fundraising initiatives through improved communications, data analysis, and project management. By optimizing internal operations and developing strategic donor materials, the coordinator expands the team’s capacity to secure and steward funding effectively.

The successful candidate will have excellent communication, people and collaboration skills, business acumen, and exemplary work ethic. They are customer focused, organized, self-motivated, and a problem solver with the ability to cross cultural boundaries to build and maintain strong working relationships.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist in planning and executing fundraising campaigns, events and initiatives.
  • Develop draft communications, research information and develop and run reports.
  • Creation of external power points, impact report and other donor materials.
  • Support CIS Board engagement tracking and reporting.
  • Support the creation of a planned giving program through, research, team educational opportunities and collaboration with finance.
  • Provide support and analysis on department specific goals, metrics, initiatives and projects.
  • Conduct grant research and provide support for grant program implementation as needed.
  • Assist with Advancement Committee logistics and administrative support.
  • Responsible for reconciliation and submission of bills, expense reports, etc.
  • Procure space and equipment, organize and set up for team and other meetings.
  • Support Total Quality Standards (TQS) to ensure the organization maintains accrediting status.
  • Assist with new employee onboarding activities.
  • Audit and 990 preparation activities
  • Provide Advancement department and overall agency with additional support toward organizational goals as needed.
  • Other duties as assigned

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and / or ability required.

EDUCATION and EXPERIENCE

  • Associate’s Degree in Communications, Business or another related field. Bachelor’s degree in related field preferred.
  • Two (2) years of relevant experience in an administrative, coordinator or support role.
  • Demonstrated experience coordinating events for multiple audiences.
  • Experience managing projects across multiple different departments and stakeholders.
  • Experience utilizing Database Software, Raiser’s Edge donor software preferred.
  • SKILLS REQUIREMENT

  • Advanced verbal and written communication, interpersonal and customer service skills
  • Advanced computer proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Proficient in Google Suite, Teams, Zoom and / or other virtual meeting platforms
  • Demonstrated experience in organization and planning with the ability to multitask, prioritize and meet deadlines
  • Ability to gather and analyze information skillfully and exercise independent judgement with minimal supervision
  • Excellent organizational skills and attention to detail
  • Able to work independently and within a team framework
  • Ability to work a flexible schedule as dictated by the needs of the business for projects and meetings
  • PHYSICAL DEMANDS

    While performing the duties of this job, the employee is frequently required to sit; use hands to handle, feel and keyboard; reach with hands and arms; and talk or hear. The employee is occasionally required to stand; walk; stoop, kneel, or bend. The employee must occasionally lift and / or move up to 25 pounds. Specific vision abilities required by this job include close and distance vision.

    WORK ENVIRONMENT

    The position is located within the Charlotte Mecklenburg area. Regular and satisfactory attendance and punctuality are required. Regular and satisfactory performance including meeting all process deadlines and stated deliverables is required.
