Under general direction, assists in the preparation of items considered by the Planning and Zoning Commission, Zoning Board of Adjustments, and City Council.
Essential Job Functions :
1. Ability to gather, format, summarize, compile and proof data for reports, including updating zoning cases and case files; ability to revise ordinances, prepare agendas, prepare agenda packets and other items considered by the Planning and Zoning Commission, Zoning Board of Adjustments, and City Council; ability to prepare ordinances for zoning cases after City Council action.
2. Ability to attend Work Sessions and Public Hearing meetings and provide staff support to the Planning and Zoning Commission and Zoning Board of Adjustments during regularly scheduled evening meetings; ability to take and transcribe Planning and Zoning Commission and Zoning Board of Adjustments Work Session and Regular Meeting minutes.

3. Ability to screen calls, answer routine inquiries through oral and / or written means; ability to staff and operate the front reception desk telephone answering system, the telephone automated attendant system, and the local network system; ability to schedule appointments and meetings, and make reservations using independent judgment; ability to act in a professional and courteous manner when interacting with the public and elected and appointed officials.
4. Ability to prepare and publish publication notices and property owner notifications in accordance with State and City legal requirements; ability to prioritize multiple tasks to meet State mandated deadlines; ability to compose and type routine correspondence and prepare final drafts of studies and reports.
Knowledge, Skills and Abilities Required :
Knowledge of proper English, spelling and punctuation. Knowledge of office and secretarial practices and procedures. Knowledge of telephone operating policies and procedures. Knowledge of computer operating systems and software packages. Skill in typing 70-80 wpm. Skill in taking shorthand or speed writing. Skill in composing, editing, formatting, and transcription of correspondence, minutes, and reports. Skill in communicating with other city employees and the public by oral and written means. Skill in organization and time-management. Ability to exercise discretion and independent judgment. Ability to receive detailed information through oral and written communication. Ability to perform a variety of office equipment, including but not limited to, PC, copier, typewriter, and multi-line telephone. Ability to perform a variety of physical skills, including but not limited to, seeing, sitting, typing, and writing. Ability to lift or exert forces equivalent to lifting up to 20 pounds.
Qualifying Education and Experience :
Two (2) years of college, including coursework in, Business Communication, Business Spelling, Business Vocabulary, Office Procedures, Records Management, Keyboarding I, II, III, Basic / Advanced Windows Computer course, Basic / Advanced MS Word and Excel, plus 2-3 years related work experience, or an equivalent combination of education and / or experience.
