Office Administrator

The Office Administrator is responsible for supporting the day-to-day operations of the office while serving as the first point of contact for visitors and callers. This role requires professionalism, organization, and the ability to handle a variety of administrative and clerical tasks to keep the office running smoothly.

Key Responsibilities :

  • Welcome and direct visitors in a professional manner
  • Answer, screen, and route incoming calls; take accurate messages as needed
  • Maintain a clean, organized, and welcoming reception area
  • Sort and distribute incoming mail, deliveries, and packages
  • Track visitor activity and issue temporary badges as needed
  • Monitor office supply levels and place orders as necessary
  • Coordinate repairs and maintenance of office equipment and facilities
  • Provide clerical support to internal teams, such as HR, Finance, or Operations
  • Oversee general office upkeep and organization
  • Act as a point of contact for vendors, service providers, and building personnel
  • Draft reports, memos, correspondence, and other documents as needed
  • Ensure office procedures and policies are followed consistently

Qualifications :

  • High school diploma or equivalent required; Associate's degree preferred
  • 4+ years of experience in an administrative or front desk role
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Professional appearance and demeanor
