Pay Grade : Assistant 6
This position provides administrative support to the Information Technology academic division.
Responsibilities and Duties (

Works closely with the Dean, Assistant to the Dean, other Administrative Assistants, staff and faculty to ensure division guidelines are met
Performs required data entry, filing, ordering of office supplies, daily distribution of mail, updates directories and checking out equipment
Initiates required purchasing following College policy and procedures
Facilitates prompt pick up / delivery of mail daily, and sends academic and travel calendar reminders and notifications of deadlines
Answers telephones and provides information to callers, takes messages, or transfer calls to appropriate individuals
Tracks reminders for scheduled travel and reviews and processes travel authorizations and travel reimbursements for faculty and staff in a timely manner
Assists with functions at various sites as directed
Provides other general office support for divisions as needed
Provides general office support for the area including ordering keys, office supplies, and reporting office needs for office moves, repairs, or other Eagle Assist requests
Qualifications
Knowledge, Skills, and Abilities
Must be energetic and self-motivated
Must be proficient in Microsoft Office including MS Word, PowerPoint, and Excel
Demonstrated experience in compiling, tracking and monitoring expenditures
Must be able to perform all responsibilities in a timely manner
Must have excellent communication skills : listening, speaking, and writing
Must display professional interpersonal etiquette in person and on the telephone
Must be someone who honors commitments, is reliable, and punctual
Must have ability to work harmoniously with supervisors, staff, faculty, students, and the general public to accomplish the goals and objectives of the College
Will work in an office setting, but may also be required to travel across the campuses
Must provide quality customer service by creating a welcoming and supportive environment
Must conduct oneself in a manner consistent with the College's standards of ethical conduct
Minimum Requirements
Associate's degree or a combination of college courses, postsecondary training and certifications
Two years’ experience as an administrative assistant in an office setting
Preferences
Prior experience working at an academic institution
