Temporary Office Assistant

Hourly / Bi-Weekly Pay Rate : minimum $15.00

Monday-Friday 8 am-5 pm

This position is not benefit-eligible.

JOB SUMMARY / ESSENTIAL JOB FUNCTIONS :

Under the direction of the Executive Assistant Dean of Finance, Operations, and Strategic Initiatives, the Office Assistant manages the day-to-day activities of the front desk and lobby area in the College of Health Professions (CoHP). Key areas of responsibility include greeting guests, serving as a point of contact for in-office visitors as well as routing phone calls to the appropriate destination.

DUTIES AND RESPOINSBILIIIES :

1. Appropriately answer the phone, put callers on hold, and transfer calls.

2. Accept and log all deliveries that come to the front desk and distribute accordingly.

3. Maintain the Co HP front desk sign-in log. This log is used daily to record visitors and guests.

4. Perform duties assigned by College Leadership in a timely manner.

5. Arrive at the front desk prior to opening. Must be prepared and ready to greet faculty, staff, and visitors.

6. Report maintenance and cleanliness issues in the lobby as well as those brought to your attention.

7. Perform upkeep of conference room and meeting areas daily to ensure spaces are readily available.

8. Enter tickets for IT and Facilities for office repairs, maintenance and technical needs / issues, etc.

9. Other duties as assigned

Qualifications

Minimum Requirements :

The successful candidate must have a High School Diploma or equivalent with a minimum of (2) two years of experience in an Office Support role. Advanced education will be considered in place of experience.

  • Front Office experience is required.
  • Must have strong analytical and problem-solving skills.
  • Detailed Orientated.
  • Organizational skills.
  • Ability to analyze documents.
  • Computer proficiency in various software applications.
