JOB OVERVIEW

We are seeking a detail-oriented and tech-savvy Inventory Management Systems Administrator to maintain and optimize our Craftable Inventory Management System (Foodager and Bevager modules). This will be an essential cross functional role that will work with the Culinary, Beverage, Accounting, and Finance teams to establish and enforce processes that ensure the integrity of data and support operations across multiple store locations through deep systems knowledge and accurate reporting. The ideal candidate is a dedicated team player and has a strong understanding of restaurant operations, inventory workflows, and experience with inventory management systems like Craftable, Crunchtime, Compeat or Restaurant 365 and integrated ERP systems like NetSuite.

Key Responsibilities

  • System Administration
  • Maintain data integrity across the Craftable platform, including Foodager and Bevager.
  • Establish and maintain naming conventions, accurate pack sizes, and measurement units for all items in foodager and bevager databases.
  • Ensure the mapping of recipes created within the system accurately to POS systems and ensure smooth integration with NetSuite ERP.
  • Vendor and Pricing Management
  • In coordination with the accounting team, set up and manage vendor profiles within Craftable and ensure proper mapping to ERP.
  • Regularly upload and update vendor pricing guides to maintain dynamic pricing and accurate cost reporting.
  • User & Access Control
  • In coordination with Operations, H&R, and Accounting teams, establish and manage user permissions, ensuring appropriate access levels and system security for all users.
  • Training and Support
  • As required, support the operations teams to ensure that all system users have an understanding of the key features and functions of the system including product ordering, invoice entry, the taking of inventory, and recipe creation.
  • Support Operations and Accounting leadership in the establishment and enforcement of standard operating procedures for all system processes.
  • Inventory Accuracy and Reporting
  • Rectify month-end inventory counts across all locations to ensure, in coordination with the operations teams, that product costs and counts are accurate.
  • In coordination with Operations and Finance leadership, establish and deliver core analytical reporting including actual vs. theoretical usage, purchasing history (actual vs optimal), price variances, and other reporting to identify trends and opportunities for maximizing restaurant profitability.
  • Deliver ad-hoc reporting as needed to leadership team.

Qualifications

  • 2+ years of experience in inventory management systems, preferably in hospitality, foodservice, or retail.
  • Experience with Craftable (Foodager / Bevager) required.
  • Familiarity with NetSuite or other ERP systems preferred.
  • Strong understanding of recipe costing, food and beverage inventory workflows, and vendor relationships.
  • Proficient with spreadsheets and data entry (Excel or Google Sheets).
  • Excellent attention to detail, analytical skills, and organizational abilities.
  • Strong communication and interpersonal skills; comfortable working with cross-functional teams including chefs, store operators, and finance.
  • Preferred Skills

  • Knowledge of POS integration processes (e.g., Toast, Micros, etc.).
  • Experience in multi-unit operations.
  • Ability to troubleshoot system errors and coordinate with software support teams.
