This is a full-time, in-office role, 5 days per week, based in Arlington, VA, with minimal travel required. The Executive Assistant will play a critical role in managing executive priorities, overseeing key administrative functions, and supporting the build-out of our headquarters office. The ideal candidate will be proactive, detail-oriented, and able to anticipate needs in a fast-paced, growing organization.
This is not a traditional support role; this individual will have the opportunity to assess and shape additional administrative talent needs as the organization scales.
Key Responsibilities
- Support the CEO : You will manage day-to-day administrative tasks with finesse, from handling company communications and coordinating the CEO's calendar to organizing travel arrangements and preparing detailed expense reports.
- Event Coordination : Dive into the excitement of planning and executing both client-facing and internal meetings and events. Your meticulous attention to detail will ensure seamless logistics and exceptional experiences for all participants.
- IT and Operations Liaison : Serve as the go-to person for remote access and IT support, ensuring smooth operations and addressing any technical issues promptly to keep our team connected and productive.
- Compliance and Efficiency : Maintain meticulous records and files in accordance with corporate and government standards, ensuring our organization operates smoothly and efficiently.
- Onboarding Excellence : Take charge of new employee setups and onboarding processes, ensuring a warm welcome with all necessary equipment and systems in place from day one.
- Project Management : Embrace variety in your role by managing diverse ad-hoc projects and administrative duties as they arise, showcasing your adaptability and problem-solving skills.
Qualifications
Minimum of 5-7 years of administrative experience; three as an Executive Assistant preferredStrong collaboration skills with colleagues across global locationsAbility to work effectively with minimal supervisionA proactive approach to anticipating needs and taking initiativeProficient in note taking and effectively disseminate follow-up action itemsExperience managing multiple projects concurrently and performing well under deadlinesExceptional attention to detailProficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, Outlook, and virtual meeting applications (Microsoft Teams, Zoom, WebEx)Located within commutable distance to Arlington, VAHigh school diploma required; associate or bachelor's degree preferred
