Days & Hours : Monday through Friday 37.5 hours per week. The standard work schedule is 9 : 00 am to 5 : 30 pm maybe adjusted. A flexible schedule may require evening and weekend hours.

BASIC FUNCTION AND SCOPE OF JOB :

The Program Coordinator provides timely high-level administrative and academic support to GGU Worldwides Faculty Directors and Deans. This position is responsible for supporting the day-to-day administrative and coordinative operations of various international partner programs requiring strong attention to detail excellent interpersonal skills cross-cultural communication technical skills a commitment to student-centered service academic quality assurance and accreditor compliance. The role demands the ability to multi-task and adapt to varied responsibilities and time zones across GGU programs departments platforms and geographies. The Program Coordinator provides dedicated administrative and logistical support for the GGU Beacon Education (China) partnership and the Registrars Office.

ESSENTIAL FUNCTIONS :

  • Work collaboratively as part of the GGU Worldwide administrative team to deliver timely quality and focused care and support to students faculty staff and partners.
  • Assist GGU Beacon Education (China) Faculty Director with course scheduling syllabi management instructor selection student evaluations timesheet tracking record keeping and other academic operations.
  • Support Beacon Education (China) partnership including pre-admission enrollment verification course enrollment attendance monitoring student standards status WASC reports translation / interpretation and academic quality initiatives etc.
  • Support Registrars Office with Chinese language translation and verification and accuracy of students names and other information.
  • Use platforms such as Curriculog to support curriculum changes and Smartsheet to manage course schedules.
  • Serve as the point of contact for partner adjunct faculty onboarding support and coordination.
  • Monitor and track student grievances and the appeals process.
  • Assure GGU Worldwide courses and programs in the GGU Catalog all websites and social media pages are up to date in both English and Chinese.
  • Course schedule planning coordination confirmation and oversight.
  • Closely monitor adjunct faculty calendar working hours cap for state and federal compliance.
  • Closely monitor faculty-student course engagement in Lumina LMS and provide timely feedback per WASC guidelines.
  • Coordinate with other university departments including Student accounts Division of Student Success facilities schools among others.
  • Assist deans faculty directors and faculty on outreach partner relations and students associations.
  • Schedule and coordinate appointments and meetings; utilize strong judgment in managing priorities of requests and escalating as necessary for resolution and / or prioritization.
  • Prepare documents reports agendas presentations and related materials.
  • Assist with Beacon events orientations immersions commencement and other activities.
  • Provide language translation for GGU faculty staff and students.
  • Other duties as assigned.

QUALIFICATIONS :

  • Education requirement :
  • Bachelors degree; Masters degree a plus

  • Years of experience :
  • Two to five years experience in academic program support role or similar is preferred.

  • Knowledge of :
  • Proficiency in both English and Chinese is required.

  • Curriculog Salesforce Colleague and Smartsheet are preferred but not required.
  • AI tools is preferred but not required.
  • Direct job-related requirements :
  • CRM and Lumina (China) learning management system

  • High level of proficiency with modern office practices procedures equipment and software including Microsoft Office Suite Zoom MS Teams and other office technology.
  • Skills and abilities :
  • Ability to work on-site at the San Francisco California campus.

  • Ability to work off-site activities including but not limited to immersions study tours community events.
  • Strong interpersonal and bilingual skills with the ability to maintain positive and professional relationships with students faculty staff and partners.
  • Ability to work in a multicultural diverse and inclusive environment.
  • Excellent interpersonal administrative communication and organizational skills.
  • Outstanding command of the English and Chinese language in written and verbal forms.
  • Ability to effectively interpret organize and present information and ideas in writing.
  • Excellent project management skills including ability to simultaneously manage several projects and activities as well as use AI tools.
  • Work effectively both as a leader and as a team member to support departmental goals providing assistance across programs while consistently prioritizing the best interests of students and graduates.
