The Administrative Assistant at the front desk of Armada Recovery is responsible for providing high-quality administrative support to ensure the smooth operation of the facility. This role involves greeting visitors, managing phone calls, scheduling appointments, and performing various clerical tasks. The Administrative Assistant serves as the first point of contact for clients, staff, and visitors, and plays a crucial role in maintaining a welcoming and efficient environment.

DUTIES OF THE POSITION :
The duties of the position include, but are not limited to, the following :
1) Reception
- Greet and welcome clients, visitors, and staff in a professional and timely manner.
- Assist with the intake and discharge process for clients.
- Maintain the cleanliness and organization of the front desk area.
2) Scheduling and Admissions
Answer and direct phone calls, take messages, and respond to inquiries.Schedule and manage appointments for clients and staff.Assist with the admission and orientation processes for new clients.Collect signatures for releases of information, consent for treatment, and other forms as needed.3) Administrative Duties
Handle incoming and outgoing mail and deliveries.Maintain and update client records and files, as needed.Assist with administrative tasks such as data entry, filing, and photocopying.4) Collaboration and Communication :
Coordinate with other departments to ensure smooth operations.Maintain excellent verbal and written communication with staff, clients, and visitors.ADDITIONAL DUTIES :
Ability to understand, speak, read, write in English.Ability to prepare routine reports and correspondence in English.Effectively speak before groups of customers or employees.Work all hours required to fulfill job duties and responsibilities (including weekends, evenings, and holidays as needed).Ability to carry / lift boxes weighing between 10 and 25 pounds.Must be able to ascend and descend stairs regularly as part of daily job duties.Perform additional duties and responsibilities as assigned by management.COMPLIANCE RESPONSIBILITIES :

At least 1-2 years of experience working in an administrative support role, preferably in a behavioral healthcare or healthcare setting.SKILLS AND QUALIFICATIONS :
Strong interpersonal and communication skills.Ability to co-facilitate group discussions in a non-judgmental and supportive manner.Understanding of evidence-based practices and therapeutic modalities for substance use disorder treatment.Ability to complete clinical documentation in an electronic medical record.Ability to handle sensitive and confidential information with discretion.Ability to work collaboratively in a multidisciplinary team.Crisis management and de-escalation skills.COMPUTER SKILLS : (Select required level for each application)
