Position Overview :
We are seeking a highly organized and detail-oriented individual for the position of Head Secretary. The ideal candidate will have strong administrative skills, including managing financial responsibilities such as money handling, account balancing, and purchase order management. This role also involves direct interaction with students and parents, ensuring effective communication and smooth operations within our organization.
Key Responsibilities :
Financial Management :
Handle money transactions, including collecting payments, processing deposits, and reconciling accounts.
Maintain and balance financial records to ensure accuracy and compliance with budgetary guidelines.
Oversee and process purchase orders, ensuring proper documentation and timely approvals.
Administrative Support :
Provide general secretarial support to the school or organization's leadership.
Manage calendars, schedule appointments, and coordinate meetings and events.
Prepare and maintain various administrative documents and reports.
Student / Parent Interaction :
Serve as the primary point of contact for parents and students for inquiries, concerns, and general communication.
Assist in coordinating student-related activities and communication with parents regarding attendance, grades, and school events.
General Office Operations :
Maintain office supplies, order necessary materials, and ensure the smooth operation of day-to-day activities.
Assist in the preparation of communication materials, such as newsletters, announcements, and meeting agendas.
Confidentiality & Professionalism :
Handle sensitive information with discretion and maintain confidentiality at all times.
Demonstrate professionalism in all interactions with students, parents, and staff.
Qualifications :
High school diploma required; associate's degree or higher preferred.
Proven experience in office administration, finance handling, or secretarial roles (experience in an educational setting is a plus).
Strong proficiency in office software (Microsoft Office Suite, Google Workspace).
Excellent communication and interpersonal skills.
Strong organizational and time-management skills with the ability to handle multiple tasks simultaneously.
Ability to work independently and as part of a team.
Knowledge of financial procedures, including balancing accounts and processing purchase orders, preferred.
