JOB TITLE – Coordinator

DEPARTMENT – The Roof

REPORTS TO – Guest Relations Manager

SUMMARY

The Coordinator is the first voice of The Roof Restaurant and a key architect of the guest experience. This role manages reservations, private dining, special events, and buyouts with professionalism, warmth, and exceptional attention to detail. Acting as concierge and overall experience designer, the coordinator does more than book tables, they confirm reservations, capture guest preferences, flag VIPs, and curate thoughtful, personalized dining experiences. The ideal candidate has a balance of hospitality, organizational expertise, and creativity, ensuring every guest feels valued and every event runs seamlessly.

JOB ENVIRONMENT

Primarily works indoors in a high-volume, upscale dining restaurant environment. Requires extended periods of sitting, standing, phone and computer use, and frequent guest interaction. Must be comfortable handling multiple priorities, including reservations, guest requests, and event coordination. Evening, weekend, and holiday availability required.

SKILLS, EDUCATION AND QUALIFICATIONS

  • Previous experience in hospitality, event coordination, or guest relations preferred
  • Strong written and verbal communication skills with a warm, guest-first tone
  • Highly organized with excellent attention to detail and follow-through
  • Ability to multitask and remain calm under pressure in a fast-paced environment
  • Knowledge of reservation platforms and proficiency with basic computer systems
  • Professional demeanor, with the ability to interact confidently with VIPs and large groups
  • Team-oriented and able to collaborate effectively across FOH and BOH teams
  • Punctual, reliable, and adaptable to evolving business needs

ESSENTIAL FUNCTIONS

  • Answer phones, emails, and online inquiries promptly and professionally
  • Manage daily reservations, confirmations, cancellations, and waitlists in real time
  • Ask thoughtful questions to capture guest preferences, celebrations, allergies, and pacing requests
  • Track VIPs, regulars, and special occasions for the FOH team to ensure personalized service
  • Coordinate all private dining and event inquiries including chef’s tables and private rooms
  • Draft and manage contracts, deposits, and event briefs for semi-private and private events
  • Conduct site walkthroughs with clients and creatively design memorable dining experiences
  • Relay daily reservation insights and event details to FOH and BOH leadership
  • Communicate real-time changes and cancellations to managers and the host team
  • Support front desk operations during peak service hours as needed
  • Understands and embraces our workplace culture, works as a team player, and follows all company policies
  • COMPENSATION

    20.00 - $24.00 / hour. This range is inclusive of multiple job levels. Salary to be determined by multiple factors including but not limited to evaluation of the education, experience, knowledge, skills, and abilities of the applicant along with internal equity and alignment with market data.

    OTHER JOB REQUIREMENTS

  • May be required to work outside of regular business hours, including weekends, early mornings, and holidays, to accommodate business needs
