ESSENTIAL FUNCTIONS include the following. Other duties may be assignedLeadership by Values

Documentation / Reports

  • Oversight of AP function within Financial Services, from invoice approval to check generation.
  • Oversight of seasonal AP clerks throughout the summer season.
  • Prepares and mails IRS 1099-MISC forms for all vendors by IRS deadline.
  • Generates payment of Rockford Park District Foundation invoices.
  • Generates "on demand" checks when necessary.
  • Provides historical AP information in an organized manner, upon request.
  • Assists the Staff Accountant as needed, processing the payroll at a minimum, bi-annually, to stay current on processes and procedures.
  • Enters general ledger journal entries as assigned.
  • Completes GL reconciliations, as assigned.
  • Assists with year-end as needed.
  • Operational Excellence

  • Reviews account numbers and vendor numbers on incoming documents for accuracy.
  • Identifies vendors needing 1099 status and verifies required information in Vendor Maintenance files.
  • Enters invoice information accurately and timely.
  • Reviews invoice entry to invoices for accuracy.
  • Uses good judgment to identify and investigate questionable invoice items.
  • Researches and suggests process improvements / streamlining of processes.
  • Customer Satisfaction

  • Communicates with internal and external customers regarding correct invoices, credits, budget errors, payment status, statements, etc. to facilitate prompt payment of District obligations and accurate account distribution.
  • Provides excellent customer service to employees and supervisors when fielding and investigating payroll related or entry related questions.
  • Teamwork

  • Communicates with Supervisors to clarify any accounting or AP related issues.
  • Requirements

    Education / Experience

    Associates in Accounting / Business preferred, with a minimum 3 years of related work experience in accounts payable, payroll, accounting, business, or related field.
