Job Description
We are seeking a highly organized and proactive Executive Assistant to support the Vice President of IT. This role requires excellent communication, follow-through, and multitasking skills to help manage a dynamic schedule, coordinate critical meetings, and ensure timely execution of IT projects and initiatives. The ideal candidate will have a strong administrative background, with a working knowledge of IT environments and basic project coordination.
Key Responsibilities
- Manage and prioritize the VP's inbox, flagging urgent items and drafting responses where appropriate
- Schedule and coordinate internal and external meetings, including preparing agendas, taking notes, and tracking action items
- Create, assign, and follow up on tasks resulting from meetings or communications to ensure timely completion
- Maintain a clear and organized system for managing the VP's calendar, appointments, and commitments
- Track key IT project deadlines, deliverables, and status updates to assist with executive reporting and oversight
- Prepare presentations, summaries, and other documents as needed
- Liaise with internal departments and external vendors to support initiatives led by the IT department
- Handle confidential information with discretion and professionalism
- Support basic IT research or administrative tasks related to procurement, service requests, or ticket tracking
- Assist in onboarding or coordination efforts for IT staff and contractors
- Perform other duties as assigned to ensure the effectiveness of the VP's operations
Qualifications
2+ years of experience in an administrative or executive assistant role
Strong organizational, time management, and communication skills
Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams) and familiarity with project / task management tools
Basic understanding of IT concepts or experience supporting a technical team is a plus
Knowledge of project coordination or exposure to project management methodologies is preferred

Schedule : MondayFriday, normal business hours EST
