Location : South Waterfront Portland OR
Schedule : MondayFriday 8 : 00am4 : 00pm.
Are you ready to take the reins of community operations and lead a thriving team We are looking for an On-site Community Manager to support day-to-day operations and help create a positive living experience for residents.
Essential Duties and Responsibilities :
Full working knowledge of the condominiums governing documents rules and regulations and of BuildingLink and other platforms used to support operations
Liaise daily with the facilities management company concierge staff and janitorial team; coordinate follow-up as needed. Liaise as needed with the Association Business Manager (ABM) vendors AMS accounting realtors Committee Chairs and the Board
Prepare daily recaps and alerts for the Board Committee Chairs and residents using BuildingLink. Review calendars to confirm accuracy of scheduled events reservations and facility use and update as needed
Handle resident requests and concerns received through concierges the facilities management company or directly in person by phone email or BuildingLink. Confirm follow-up and document actions taken in BuildingLink. Prepare related announcements when needed
Distribute emergency notifications via BuildingLink at the direction of the facilities management company Board Committee Chairs or governmental authorities. Keep on-site staff informed and coordinate assistance as requested
Provide concierge coverage during breaks and when a floater is unavailable during other concierge absences. Assist with concierge recruiting and training oversee scheduling and support performance management
Prioritize implementation of safety and security measures. Ensure protocols are followed including use of KeyLink when applicable
Work with the concierge team to assist residents with Work Orders ARC requests bill-payment options and use of BuildingLink LeakDefense and other resident systems. Provide support to committees as needed
Maintain up-to-date BuildingLink records for owners residents and tenants; track insurance compliance; maintain copies of leases; update concierge and janitorial manuals; update resident manuals and orientation materials; maintain supplies for front desks restrooms guest suite and janitorial needs
Monitor and create Incident Reports when necessary. Work to resolve complaints grievances and potential violations informally. Following Rules and Regulations Committee protocols and with ABM input prepare violation warnings and notices and process resulting fines
Monitor Guest Suite and Amenities Room reservations; schedule janitorial support; inspect spaces after use for damage or special cleaning needs; ensure readiness for the next reservation
Oversee move scheduling and move coordination services. Provide new resident orientations. Arrange billing for move-in and move-out fees
Support the ABM with invoice processing budgeting tasks and preparation for Board meetings
Arrange billing to unit owner accounts for Guest Suite use bike / kayak storage fob purchases unit supplies social event charges and other billable activities. Organize audits of fobs and storage assignments
