About the Role :
We are seeking a dynamic Associate Planner that leads the planning and execution of events and projects. The ideal candidate will be responsible for managing all aspects of events, from initial concept development to final execution, and working closely with clients, vendors, and internal teams.
Responsibilities
Event Planning and Strategy
Oversee the planning and coordination of events, meetings, and projects.
Help develop event concepts, themes, and agendas in collaboration with the event team.
Create detailed timelines and checklists to ensure all event components are addressed.
Collaborate with Event Specialists, Event Assistants and PR and Marketing Team.
Lead planning and execution of program events end-to-end.
Vendor and Venue Management :
Select and liaise with event venues, ensuring they meet all event specifications and standards.
Identify, negotiate, and manage relationships with vendors, including caterers, decorators, AV technicians, and transportation services.
Oversee the setup and breakdown of event spaces, ensuring all logistical requirements are met.
Vendor and Client Communication :
Act as a point of contact for vendors, clients, and other stakeholders.
Communicate event requirements and updates clearly to all parties involved.
Resolve any issues or concerns that arise during the planning process or event execution.
Communicate with clients, team members, and external parties to coordinate event details and address any issues.
Administrative Tasks :
Schedule meetings with client and team around planning logistics.
Create an agenda for meetings.
Maintain accurate records of event details and project progress.
Budget and Financial Management :
Assist in managing event budgets, tracking expenses, and ensuring financial adherence.
Prepare financial reports and documentation as required.
Support cost-effective solutions and budget adherence without compromising event quality.
Team Leadership and Supervision :
Lead and coordinate event staff and volunteers, assigning tasks and managing schedules.
Provide direction and support to team members to ensure successful event execution. Conduct pre-event briefings and post-event debriefings to evaluate performance and identify areas for improvement.
Logistics and Operations :
Oversee logistical details, including transportation, accommodation, and registration.
Ensure compliance with safety regulations and organizational policies.
Provide on-site support during events, including setup / breakdown, guest management, and troubleshooting.
Ensure all event components are executed smoothly and on schedule.
Education and Experience
Bachelors degree in Event Management, Hospitality, Business Administration,
Project Management or a related field (or equivalent experience).Proven experience in event planning or a related role is preferred.
Knowledge, Skills, Abilities
Experience with event planning software and tools.
Knowledge of budgeting and financial management.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office and event management software.
Ability to work effectively under pressure and meet deadlines.
Attention to detail and problem-solving skills.
