Receptionist
We are looking for a detail-oriented receptionist to join our team on a contract basis in New York, New York. This role is an exciting opportunity to support the daily operations of a legal office while ensuring smooth communication and organization throughout the workplace. The ideal candidate will bring excellent organizational skills, a positive attitude, and the ability to multitask in a dynamic environment.
Responsibilities :
Keep the front office, kitchen, and conference rooms clean and organized to ensure a welcoming environment.
Maintain both physical and electronic filing systems, ensuring all documents are properly stored and accessible.
Handle routine office tasks such as faxing, scanning, shredding, and printing documents.
Manage incoming and outgoing mail, including sorting, distribution, and coordinating shipments through FedEx and other carriers.
Liaise with building management to address office needs or resolve facility-related issues.
Arrange lunch orders for attorneys and client meetings, as well as make restaurant reservations when required.
Run errands for the office, including purchasing supplies or other necessities.
Provide administrative support to attorneys, including scheduling, correspondence, and other tasks as needed.
Requirements :
Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
Strong verbal and written communication skills, capable of effective interaction at all levels.
Ability to take initiative, manage priorities, and handle multiple tasks efficiently.
Exceptional organizational and problem-solving abilities to maintain office operations.
A detail-oriented demeanor and positive attitude to foster a productive work environment.
Experience with answering multi-line phone systems and handling inbound calls.
Skilled in customer service and email correspondence.
Adept at scheduling appointments and organizing files with precision.
