We are looking for a detail-oriented Project Assistant to join our team in Visalia, California. This long-term contract position requires someone with experience in administrative support or project coordination, ideally within the construction or architecture industry. The role involves supporting various aspects of construction administration, bidding processes, and government agency compliance, ensuring projects are completed efficiently and in line with organizational standards.

Responsibilities :

• Maintain accurate records and ensure proper distribution of documents, including drawings, specifications, meeting notes, and project forms.
• Provide administrative support to the Construction Administration team, including tasks such as typing, scanning, and copying.
• Assist with the preparation and organization of pre-bid agendas, sign-in sheets, and bid tabulations.
• Support all phases of the bidding process, including tracking plan holders and managing bid-related documentation.
• Create and issue transmittals to clients, contractors, and owners, ensuring timely communication.
• Update and annotate construction administration logs and project drawings with RFIs, ASIs, change orders, and other relevant updates.
• Coordinate with government agencies to process necessary forms and certifications, ensuring compliance with regulations.
• Pursue documentation and information required for project certification and closeout, maintaining thorough communication with relevant parties.
• Archive project materials according to firm standards, ensuring accessibility for future reference.
• Run project-related errands and attend off-site meetings as needed to support project timelines.
• At least 1-2 years of experience in an administrative or construction-related role.
• Associate’s degree or 2-year certification in architecture, construction, or a related field is required; a Bachelor’s degree is preferred.
• Strong organizational skills with the ability to manage timelines effectively.
• Familiarity with construction projects, architectural drawings, and project management processes.
• Proficiency in tasks such as scanning, maintaining logs, and working with architectural engineering documents.
• Valid driver’s license required for travel to project sites and off-site meetings.
• Excellent communication skills to collaborate with contractors, government agencies, and project teams.
• Ability to adapt to evolving project needs and maintain attention to detail under tight deadline.
