Job Title : Recruiting Coordinator (12-Month Contract)

Location : San Francisco, CA (Hybrid : Onsite Mon–Wed, Remote Thurs–Fri)

Pay Rate : $38.00 – $57.50 / hour (commensurate with location and experience)

Work Hours : 40 hrs / week + 5–10 hrs / week overtime potential (OT may be completed remotely post-office hours)

Contract Duration : 12 months

Russell Tobin is currently hiring for a Recruiting Coordinator to join the Talent team of one of our clients, a pioneering AI research and development company at the forefront of building transformative technology for global impact! This organization is shaping the future of artificial intelligence, committed to bold innovation, rapid iteration, and mission-driven outcomes. In this role, you'll own the scheduling lifecycle, partner with internal teams, and play a key part in making every candidate interaction seamless and professional across technical and non-technical hiring.

This is a high-impact, high-volume coordination role that requires sharp attention to detail, exceptional communication skills, and the ability to manage multiple moving pieces in a fast-paced, ever-evolving environment. The ideal candidate will have experience supporting recruitment at top tech companies or fast-paced startups.

Responsibilities :

• Own end-to-end scheduling for evergreen and specialized hiring needs across technical, engineering, and corporate functions
• Serve as a key point of contact for candidates, ensuring all communication (written and verbal) is timely, professional, and welcoming
• Partner with recruiters, interviewers, and leadership to ensure seamless interview execution and candidate touchpoints
• Manage candidate travel and reimbursement logistics (including international scheduling)
• Greet and host candidates both virtually and in person, ensuring a warm and polished experience
• Support senior and executive-level hiring coordination in collaboration with the Executive Operations team
• Troubleshoot scheduling challenges, identify process improvements, and help streamline recruitment workflows using data and tools
