Insurance Specialist / Medical Office Assistant
part-time, with potential to increase hours
POSITION SUMMARY :
The Insurance Specialist / Medical Office Assistant at WHS provides administrative support to the Director of Financial Services. The initial and primary focus of the position will be on insurance verification and maintenance of systems of data gathering and organization from intake through patient visits to establish efficient and accurate collection of insurance copays and payment for billable services. Other responsibilities will be established over time.
RESPONSIBILITIES :
Ensure that payment information (self-pay, insurance, funding) is completely and accurately collected for each patient scheduled for careContact insurance companies in advance of visits to confirm patient eligibility and establish benefits and coverageCommunicate with patients about the expected out-of-pocket costs for care and insurance coverage, if applicableEnsure required forms are completed and in the patient recordPrepare daily schedule printouts (including controlled substances log, provider billing sheets)Troubleshoot insurance questions at the time of patients visitsGather missing data from visits before claims filedCommunicate with patients about insurance issues after visitsAssist with sending bills as neededReconcile procedures with providers productivity prior to months endAssist with ordering and stocking office suppliesEnsure that chart fillers are prepared and collated, responsible for quality of patient-facing materialsAssist with phone intakes as needed (with particular attention to payment and insurance information)Collect clinic statistics as required by the state and private entitiesAssist with other administrative tasks as neededPotential to grow role to include must-do basics in a variety of areas managed by Director of Financial ServicesPotential to grow role into supervisor of medical receptionist, including on-boarding and training as neededQUALIFICATIONS :
Background in insurance verification or billing procedures essentialStrong willingness to work and ability to multi-taskProficiency in Microsoft systemsStrong attention to detail and organizational skillsPositive attitude and willingness to grow in role and responsibilityCommitment to customer serviceExperience with Quickbooks, Tebra (electronic health record) and / or Tebra billing platform is a plusSpanish, Haitian Creole, and Brazilian Portuguese language skills desirable
