The Scribe Team Lead supervises the day-to- day duties of the Scribe team and acts as the primary point of contact for other managerial staff members and providers for issues pertaining to Scribe Services. The position requires having the ability to effectively monitor, supervise, and coach others as well as having full understanding of the importance that Scribe data management and documentation has in providing quality care to patients.
The scribe team Lead will also function as a working scribe for Rancho Health MSO, Inc. providers. The goal of this position is to be the personal data assistant to the Provider, and to assist with assuring that our patients are receiving high quality, comprehensive healthcare. This means you are responsible for transcribing patient visits with accurate and detailed information, communicating and collaborating with multiple members of the care team, and building your understanding of the healthcare delivery system. This role also interfaces with the quality / care management team to improve best practices. Medical Scribes are trained to be experts in structured clinical assessments, accurate and specific documentation and team based, patient-centered care.

- Manages assigned employees, including daily supervision, hiring, and training, conducting annual performance reviews, answering employee questions / concerns, reviewing, and updating time sheets, processing time off requests, reviewing pay increases, and processing employee forms.
- Managing team training schedules.
- Collaborate with scheduling scribes-in-training and assisting with coverage for call outs.
- Provide training for new hires.
- Helping to resolve employee issues.
- Collaborating with administrative staff and providers regarding workflow and operational needs.
- Apply revisions to workflows as needed and communicate changes to the region.
- Conducts supervision of scribe team members work as regards quality, accuracy, and timeliness.
- Review and prepare patient charts prior to visit with Provider including review and preparation of the patient’s chronic medical conditions and care quality measures.
- HCC Subject Matter Expert.
- Research existing chart documentation, legacy EHR, and outside medical records to discover and validate Risk Adjusted Diagnosis (HCC Codes) and build documentation in the patient's problem list and current encounter.
- Leads the implementation of the new PDP / PCV patient care workflows.
- Observe and record Patient encounters / examinations by accompanying the Provider into the exam room or via virtual connection.
- Transcribe Patient visits with accuracy and detailed information.
- Transcribe Patient history, physical exam findings, consultations, labs, x-rays, and other evaluations, as stated by the Provider.
- Document any procedures, medications, injections, and tests that are either ordered or completed by the Provider.
- Prepare care plans and patient-facing instructions as directed by the Provider, communicate / collaborate with the care-team to assure that all elements of the care plan are addressed and completed.
- Communicate with the care team including Medical Assistants, Referrals Coordinator, Case Management, and scheduling team on any follow up, procedures or orders that may be needed.
- Maintain up-to-date information for the Provider(s) during every visit, if necessary.
- Prepare for and provide patient education documents, as needed. These may be from the EHR library or could be Primary Medical specific.
Required education and experience : The requirements listed below are representative of the knowledge, skills, and / or ability required.
Minimum Education required :
High School Diploma or equivalent (GED) required.Bachelor’s degree.Minimum Experience Required :
Previous experience as a scribe.Knowledge of medical terminology desired.Successful completion of a scribe training or medical assisting program required.Minimum Knowledge and Skills Required :
Bilingual in Spanish strongly preferred.Duties require advanced verbal and written communication skills.Ability to type 65+ words per minute.Basic level of medical knowledge and / or a willingness to learn quickly.Ability and willingness to take directions from more than one provider and be a member of a team providing patient care.Excellent job attendance. Travel : Employees must be willing to float to various locations within their county, as needed for shift coverage or training purposes.
Travel Percentage : 10-30%
