Office Services Clerk

We are seeking an Office Services Clerk for our Phoenix office to provide a range of administrative and office services support. If you excel in a professional environment and enjoy performing a variety of office tasks, then we would appreciate hearing from you. This is an in-office position, and the work hours are 8 : 30 a.m. to 5 : 00 p.m., Monday through Friday. In this role, you will :

  • Process daily mail; perform mail pickup and delivery at scheduled times. Maintain and supply the postage meter.
  • Maintain paper levels in copiers and printers daily.
  • Inventory and stock office and kitchen supplies.
  • Prepare legal records for electronic scanning, such as taping loose sheets, removing staples, and verifying consistent client information. Perform the scanning and quality control / validation process for legal documents.
  • Assist with large mailings.
  • Operate photocopy machine for large copying and scanning projects, as needed.
  • Call for photocopy machine repairs, as needed.
  • Prepare records for off-site storage. Coordinate delivery and retrieval of files from off-site storage vendor. Assist with annual document destruction, shred files as necessary.
  • Assist with lunch orders and event planning.
  • Set up and break down conference rooms for meetings and events.
  • Assist with outside deliveries.
  • Provide client services / receptionist coverage as needed, including back-up for breaks.
  • May be requested to perform other duties not listed above.

What we're looking for :

  • High School diploma or G.E.D. equivalent.
  • Prior reception and / or general office experience.
  • Ability to communicate effectively with all levels of personnel.
  • Ability to work independently and as part of a team.
  • Good attention to detail.
  • Good judgment in solving problems.
  • Ability to ascend / descend a ladder to service the lights and / or access records files and supplies.
  • Physical strength and agility to permit full performance of the duties of the position, including bending, walking and lifting up to 30 pounds.
  • Preferred : Prior mailroom experience and knowledge of office equipment such as photocopier, scanner etc. Good knowledge of MS Office software applications.
