PROGRAM SUMMARY
PACE BUSINESS promotes the start-up, stabilization, and growth of small business communities through one-on-one business consultation, training, workshops, events, and access to capital. PACE targets low- and moderate-income residents, entrepreneurs and business owners with business advisory services and educational programs to entrepreneurs looking to start or grow their small business. PACE counselors work with entrepreneurs in one-to-one sessions in the areas of management, marketing, sales, finance, accounting, business development, contracting, and other disciplines required for small business growth, expansion, and innovation.
POSITION SUMMARY
PACE is seeking a highly motivated PROGRAM ASSISTANT who will provide support in day-to-day administrative and operational activities for the PACE Business Department, participate in outreach activities, and provide supportive services for clients. Responsibilities include acting as the front desk receptionist - answering calls through the front desk, directing calls to appropriate staff, and greeting / directing / announcing walk-in visitors. The Program Assistant also will have opportunities to interact and work with clients. When directed, the Program Assistant also will represent PACE and participate in external events to learn from and meet with partners, key stakeholders, and other community partners. MAJOR RESPONSIBILITIES & DUTIES
Administrative and Project Management Activities (40%)
- Manage correspondence for PACE Business answering phone calls, responding to email inquiries, and coordinating pick-up and delivery of mail services
- Schedule, coordinate, and set-up PACE Business activities and meetings
- Collect, organize and maintain materials for meetings, events, workshops, and training
- Assist in processing purchase orders, and managing various forms and files
- Track and maintain office supplies and equipment, and place orders as needed
- Other administrative and project management duties as requested by the Office Manager
Operational Activities (30%)
Collect and input key program-related data (e.g., new clients from outreach events, enrolled clients, performance outcomes, events / workshops, trainers, resource providers, strategic partners) in PACE's database systemsStructure, organize, create, and maintain (client) filesPlan, coordinate logistics of, and participate in events, workshops, and training in collaboration with the Program- and Marketing- Teams, including preparation, registration, vendor coordination, execution, and closeoutOther operational duties as requested by the Office ManagerDirect Technical Assistance Activities (25%)
Be knowledgeable of the basics of all PACE Business / PFC service offerings, and provide clients with relevant informationProvide supportive services to procurement counselors, business counselors, and program associates with their day-to-day client-related work. Supportive services may include collecting client documents, assisting clients apply for business permits and licenses, and helping clients prepare and package applicationsRepresent the organization at events, workshops, business forums, partner meetings, and community eventsSpecial Projects (5%)
Provide support on special projects assigned by the Director of PACE Business.EDUCATION AND EXPERIENCE
High School diploma, GED, or High School Equivalency (HSE); Associate Degree preferredMinimum 1 year of work experience in program coordination, project support, business counseling, banking, or similar roleSKILLS AND ABILITIES
Ability to work with low-income individuals and groups of multi-background; demonstrated ability to be patient, listen, and respond appropriately and interact positively with individuals, especially clientsStrong organizational and management skills, and detailed orientedProficiency in Microsoft Office Suite : (Word, Excel, PowerPoint, Forms, Outlook)Proficiency in Social Media and On-line MarketingFamiliarity with financial statements, including balance sheet, income statement, and cash flow, desirableProven self-starterDemonstrated ability to multi-task and work in a fast-paced office settingDemonstrated ability to work effectively with staff, building and stewarding an organizational culture that embraces inclusionHave excellent communication skills - both written and spoken; ability to communicate and deliver clear, concise, effective manner for internal and external stakeholdersBuild positive, effective, collaborative cultures and teams wherever you work, including willingness to share skills and knowledge with othersProficiency with data and reporting, preferably using client relation management (CRM) software / system, especially SalesforceBilingual skills are highly desiredSPECIAL REQUIREMENTS
