Description

Position Summary : The Accounts Payable Specialist provides accounting and financial support through the full-cycle accounts payable process, ensuring accurate and timely payment of vendor invoices, employee reimbursements, and other company expenses. In addition to AP responsibilities, this role supports daily operations at the Corporate Office and assists with special projects as assigned, contributing to overall efficiency and smooth business operations.

Accounts Payable Specialist

  • Must partner with Accounting and Financial Systems Manager & Director of Finance to meet objectives
  • Facilitate payment of invoices to vendors by running checks and ACH registers, coordinating payment with the bank, processing of wires, and issuing stop payments
  • Respond to external vendors and internal managers regarding all aspects of the accounts payable process, including processing invoices for payment, recording sales tax, assisting with bank reconciliations in a multi-entity environment
  • Research information to provide accurate and timely solutions to internal clients and vendors at multiple locations
  • Verify the accuracy of vendor invoices and confirm that the correct general ledger account codes are used
  • Review automatic payments to ensure correct coding and authorization as well as sufficient contracts and documentation
  • Manage various key asset inventory tracking
  • Identify and immediately report any existing or potential issues that arise with internal or external clients
  • Provide payroll support and processing as needed
  • Coordinate with the property management company for any lease items related to the corporate office

Essential skills and experience :

  • Bachelor's degree in business administration, accounting, or a related field and 3-5 years' experience working in an administrative or accounting role;or any combination of education, licensing, specialized training, and experience that demonstrates the ability to perform the duties of the position
  • Advanced experience and skills in administrative support; scheduling, general office procedures, smart phone use and computer proficiency
  • Exceptional interpersonal communication skills; positive attitude
  • Excellent time management skills : ability to organize and coordinate multiple projects with available resources
  • Keen attention to detail, honesty, adaptability, dependability, and a willingness to do hands-on work
  • Ability to maintain a high level of strict confidentiality and professionalism
  • Possess a valid driver's license with a good driving record
  • Valued but not required skills and experience :

  • Private estate / hotel hospitality / museum experience
  • Finance administrative experience beneficial

  • Physical demands : Basic standing, walking, sitting. Close vision demands due to continual desktop computer work requirements. Driving of personal vehicle required to various local properties and vendor sites. Occasional lifting of up to 40 lbs.
  • Work environment : Cubical setting. Noise level usually moderate.
  • General sign-off : The employee is expected to adhere to and ensure compliance with all relevant OSHA safety regulations for all facility personnel; as well as all company policies, and to act as a role model in the adherence to policies.
