JOB SUMMARY

ThePart Time Program Assistant is a grant funded, term limited position. Thisposition is responsible for assisting with the prevention and education relatedservices provided to youth, families, and other community stakeholder in theCity of Columbia’s service area. It will also assist in the coordination ofservice providers and community groups, conducting prevention and educationtraining sessions, in addition to ensuring successful delivery of violent crimeprevention initiatives. The incumbent works according to some procedures but willalso have discretion in completing tasks; work is reviewed routinely bysupervisor.

ESSENTIALJOB FUNCTIONS :

  • Assists in the establishment of new programs or the modification of existing programs plans, goals, and objectives;
  • Assists in ensuring program compliance with all applicable program guidelines, laws, regulations, policies, procedures and standards;
  • Creates a Community-based Violence Intervention Program through prevention and education programs and initiatives;
  • Promotes a holistic approach of working with citizens by coordinating with community partners, specifically those engaged in community violence prevention and intervention efforts;
  • Ensures efficient communication among multiple stakeholders and across City of Columbia departments and coordinates with external agencies;
  • Facilitates regular opportunities for stakeholders to ensure alignment amongst government agencies, services providers, and citizens;
  • Provides training, coordination, and consultation with school and community partners to reduce violence and maximize efforts;
  • Focuses specifically on supporting gun-involved youth and family members experiencing trauma due to violence, and youth or other victims of violent crimes;
  • Assist with monitoring and reporting requirements of the grand award;
  • Maintains up-to-date knowledge of the status of assigned program area(s);
  • Reviews, evaluates and reports on assigned program area;
  • Gathers, interprets, and prepares data for studies, reports and recommendations.
  • Participates in an ongoing public awareness program designed to promote department programs and services.
  • Coordinates, attends and / or facilitates community meetings to discuss related programs and projects and to garner public support for such projects.
  • Receives and responds to inquiries, concerns, complaints and requests for assistance regarding areas of responsibility.
  • Evaluates programs for effectiveness; makes recommendations for changes to improve programs, services and participation as appropriate;
  • Assists in maintaining activity schedules and calendars;
  • Monitors attendance and maintains related records; assists in evaluating programs for effectiveness, and recommends changes as appropriate to improve services and programs;
  • Performs general administrative / clerical work as required, including preparing reports and correspondence, entering and retrieving computer data, preparing spreadsheets, reviewing mail and literature, copying and filing documents, conducting and attending meetings, answering the telephone, etc.
  • Attends meetings, workshops, conferences, training, etc., as appropriate to enhance job knowledge and skills; and
  • Performs other related duties as assigned.

MINIMUMREQUIREMENTS TO PERFORM WORK :

  • A bachelor’s degree from an accredited four-year college or university with major coursework in sociology, counseling, social work, public health, public administration, criminology, or a closely related field; a graduate degree or higher in one or more of the aforementioned fields is strongly preferred.
  • Two (2) years of relevant prior experience;
  • Or any equivalent combination of education and experience; and
  • Valid South Carolina Class “D” Driver’s License;
  • Knowledge,Skills and Abilities :

  • Ability to present initiatives and speak to diverse groups;
  • Knowledge of addition and subtraction, multiplication and division, and / or calculating ratios, rates and percentages;
  • Ability to coordinate or determine time, place or sequence of operations or activities based on analysis of data or information and may implement and report on operations and activities;
  • Ability to provide information, guidance or assistance to people to directly facilitate task accomplishment; may give directions or assignments to helpers or assistants;
  • Ability to handle or use machines, tools or equipment requiring brief instruction or experience, such as computers for data entry, fax machines, copiers, telephones or similar equipment; may service office machines, including adding paper and changing toner;
  • Ability to perform coordinating work involving guidelines and rules, with constant problem-solving;
  • Ability to read routine sentences, instructions, regulations, procedures or work orders; writing routine sentences and completing routine job forms and incident reports; speaking routine sentences using proper grammar;
  • Ability to perform specialized technical or entry-level professional work requiring general understanding of operating policies and procedures and their application to problems not previously encountered; application of specialized technical or professional principles and practices or the use of a wide range of administrative methods in the solution of problems; requires normal attention with short periods of concentration for accurate results and occasional exposure to unusual pressure; and
  • Ability to guide others, requiring frequent decisions affecting co-workers and others who depend on the service or product; works in a somewhat fluid environment with rules and procedures but with many variations from the routine.
  • PHYSICALDEMANDS :

    The work is considered sedentary in nature andinvolves walking or standing some of the time and involves exerting up to 10pounds of force on a recurring basis or routine keyboard operations. The workrequires the following physical abilities to perform the essential job functions : grasping, handling, hearing, kneeling, speaking, stooping, talking, visualacuity, and walking.

    WORKING CONDITIONS :

    Work environment involves exposure to no knownenvironmental hazards; and is dynamic that requires sensitivity to change andresponsiveness to changing goals, priorities, and needs.
