Administrative Assistant - Spark Academy
Purpose
The Administrative Assistant provides essential support to department leaders, ensuring smooth daily operations through clerical tasks, scheduling, communication, and coordination. This role helps staff stay organized, connected, and supported while upholding our values of compassion, collaboration, and accountability.
Key Responsibilities
Manage calendars, schedule meetings, and coordinate appointments.
Draft and format communications, reports, and forms.
Answer and route phone calls and emails professionally.
Maintain accurate digital and physical files with confidentiality.
Create, update, and manage records, spreadsheets, and databases.
Support meetings, trainings, and events with logistics and materials.
Serve as a communication link between departments.
Order and track supplies as needed.
Assist in onboarding new staff and support team culture.
Qualifications
High school diploma required; associate degree preferred.
At least 1 year of administrative or office experience.
Proficiency in Microsoft Office and Google Workspace.
Strong organizational and communication skills.
Detail-oriented, adaptable, and professional with confidential information.
Customer-service minded and team-focused.
Work Environment
Office-based role within a residential treatment center.
Requires emotional steadiness, clear boundaries, and professionalism in high-stress situations.
Ability to move between campus buildings and lift up to 25 lbs.
Other Details
Must be at least 18 and meet all pre-employment requirements.
This position does not supervise others but may provide training or guidance to peers.
