Hours : 40 per week | Day Shift (8 : 00 AM 5 : 00 PM)

Projected Start Date : 12 / 15 / 2025

Work Arrangement : On-site (Hybrid potential after training)

Position Overview

The Administrative Assistant will provide essential support to the AZDES DBME team, ensuring smooth operations and excellent customer service. This role involves managing communication systems, scheduling consultative exams, and assisting claim adjudicators with case development activities.

Key Responsibilities

• Operate switchboard systems : answer, direct, and transfer calls; manage visitor check-ins; take messages; provide information; maintain records.
• Handle emergency calls, monitor alarms, manage paging systems, sort mail, and provide basic customer service.
• Locate specialized doctors for claimants and schedule consultative examinations (CE), including follow-up calls.
• Prepare and mail CE packets; fax paperwork to medical providers as needed.
• Respond to inquiries from claimants, vendors, and other sources regarding claim status or transportation assistance (e.g., mailing bus passes).
• Contact claimants, doctors, hospitals, and attorneys to confirm appointments, obtain reports, and provide status updates.
• Assist claim adjudicators with case development activities requiring analysis and judgment.
• Track and ensure completion of daily assignments using internal systems.
