Administrative Assistant
The Administrative Assistant (AA) is responsible for assisting with the day-to-day operations and activities of the center, clinic, or corporate office. The AA collaborates with the Director of Operations to ensure the effective and efficient management and support of the location.
Duties and Responsibilities
- Coordinate activities, both internally and externally, for all departments as well as external stakeholders, families, and service providers
- Support the clinic and operations staff with administrative duties
- Answer and screen telephone inquiries; take and route messages and record intake information, as needed
- Greet and assist visitors
- Generate reports and presentations and file in the appropriate electronic files
- Assist with the completion of employee personnel forms, workers compensation claims and leave forms / requests for the Human Capital Management system
- Provide administrative resources for the team in partnership with other operations staff including coordinating office tasks, supplies, and equipment; facility upkeep and new hire set up
- Supply general support for travel arrangements
- Plan and coordinate team meetings, as necessary
- Provide event planning support, as necessary, for external events
- Provide real-time scheduling support by booking appointments in order to avoid conflicts
- Assist internal recruiters with onsite interview schedules as well as candidate arrangements and travel
- Anticipate the needs of others in order to ensure an effective, positive experience.
- Perform other duties as assigned and required to maintain unit operations
- Adhere to Cultivate Management Corp policies and procedures
- Perform other duties as assigned
Qualifications
3 years of experience providing high level administrative support to corporate teamsExperience in healthcare practice management systems preferred but not requiredKnowledge, Skills, and Abilities
Proficient in MS Office applications, including Word, Excel, PowerPoint, and Outlook eMail and CalendarAbility to maintain polite and professional communications via phone, e-mail, mail, and in personExcellent attention to detailAbility to take direction, work collaboratively, as well as to work independently, with minimal supervisionExceptional communication skills, both verbal and written, in person, and using multiple communication platforms, including both audio and videoAbility to be flexible and to manage multiple projects with demanding or competing deadlines and deliver timely resultsPhysical Conditions :
