We are looking for a motivated and detail-oriented Project Assistant to join our team on a contract basis in Amarillo, Texas. This role provides critical support to the accounting operations team within the construction industry, making it ideal for someone with strong administrative skills and a proactive attitude. This position offers the opportunity to develop expertise in accounting functions, with training provided for the right candidate.
Responsibilities :
- Provide administrative support to the accounting operations team, ensuring tasks are completed accurately and efficiently.
- Assist with invoicing processes and the creation of spreadsheets to maintain organized financial records.
- Verify time sheets and payroll for accuracy and perform quality checks before approval.
- Manage onboarding activities for new team members, ensuring compliance with HR procedures.
- Utilize intermediate Excel skills for data entry, analysis, and reporting.
- Organize files and maintain accurate documentation to support project workflows.
- Coordinate shipping functions and scanning tasks to ensure timely delivery of materials.
- Communicate effectively with team members and external stakeholders to manage timelines and resolve issues.
- Use Microsoft Office tools, including Word, Excel, Outlook, and PowerPoint, to perform daily tasks and prepare reports.
- Deliver excellent customer service by addressing inquiries and providing support as needed.
- Minimum of 1 year of experience in administrative, project coordination, or project management roles.
- Intermediate proficiency in Microsoft Excel, with the ability to create and manage spreadsheets.
- Strong organizational skills and attention to detail for maintaining accurate records and documentation.
- Ability to learn quickly and adapt to new tasks or systems.
- Excellent communication skills to interact effectively with team members and external contacts.
- Familiarity with Microsoft Office Suite, including Word, PowerPoint, Outlook, and Excel.
- Proactive and self-motivated approach to handling responsibilities independently.
- Prior experience in customer service and data entry is highly desirable.
