Assistant Manager-Front office Manager for Facial Plastic, Plastic Surgery and Medical Spa
Join our internationally recognized Facial Plastic Plastic Surgery, Plastic Surgeon and Medical Spa as an assistant Manager / Front Office Manager. We are looking for an individual with a vibrant and sociable demeanor, strong sales experience, and exceptional multitasking abilities. As the "Face" of our businesses, you will play a crucial role in providing excellent customer service, managing various responsibilities, and contributing to the success of our team. Responsibilities :
1. Patient Education and Patient Coordinating - Educate patients on procedures, achieve booking and revenue goals, and provide information on services offered.
2. Customer Service : Promote and practice excellent customer service, ensuring a positive and welcoming environment for patients.
3. Office Operations : Perform opening and closing duties, maintain office triage by tracking the location of patients, doctors, and medical assistants
4. Phone Management : Coordinate and manage multiple phone lines simultaneously, addressing patient inquiries and scheduling appointments.
5. Administrative Tasks : Prepare charts, new patient packets, and follow through with scheduling appointments, including obtaining necessary payments.
6. Inventory Management : Manage inventory for office and maintenance supplies, as well as skincare products.
7. Facility Maintenance : Maintain patient rooms and waiting areas, ensuring a clean and welcoming atmosphere.
9. Photography : Capture photos of patients for appointments, post-ops, and pre-ops as needed.
10. Communication : Effectively communicate with patients, staff, and management, maintaining a high standard of ethics and privacy.
11. Positive Demeanor : Provide a friendly and positive demeanor to all surgeons, staff, patients, and visitors.
12. Assist Medical Assistant and Doctor : Assist with inventory control, room organization, and miscellaneous projects as needed.
13. Coordination with Managers : Communicate regularly with Operations Manager, Business Manager, and Spa Director on issues related to patient care.
14. Engagements : Arrange speaking, teaching, clinical, and research study appointments and engagements for surgeons.
15 social media : Work with the practice manager and social media team to coordinate social media posts, and coordinating filming
1. Previous experience in a similar role within the aesthetic or medical spa industry.
2. Strong sales experience, with a proven track record.
3. Excellent multitasking skills and ability to manage various responsibilities simultaneously.
4. Computer, phone, and social media skills.
5. Consistently attractive appearance and a warm, welcoming smile.
6. Evenings and some alternating weekend availability.
