The City of Jackson Transit Service Division (JTRAN) is looking for an organized and goal-oriented Office Coordinator. Beyond greeting office visitors and answering phone calls and emails, in order to keep the division' operations running smoothly you'll also have the opportunity to help shape the way we run our office.
- Coordinate activities throughout the Transit Services Division to ensure efficiency and maintain compliance with City, State and Federal policies
- Manage agendas, travel plans and appointments for the division's team
- Manage emails, letters, packages, phone calls and other forms of correspondence
- Support bookkeeping and budgeting procedures for the division
- Create and update databases and records for financial information, personnel and other data
- Track and replace office supplies as necessary to avoid interruptions in standard front office procedures
- Submit reports and prepare proposals and presentations as needed
- Assist colleagues whenever there is an opportunity to do so
- Perform other duties as assigned.
Skills and Qualifications :
Proficient in using Microsoft Office products including Outlook, Word, Excel and PowerPoint, along with the initiative to quickly adapt to new technology and effectively acquire new skills.Strong organizational skills and attention to detail with the ability to balance conflicting priorities.Analytical skills and ability to effectively interpret and anticipate needs proactively by taking action and seeking clarification when needed.Maintain a friendly, positive demeanor despite rapidly changing demands and shifting priorities. Ability to display a high degree of discretion and maintain confidentiality.Strong communication skills including active listening and ability to produce well thought-out, business appropriate correspondence. Outstanding abilities to communicate in person, in writing and over the phone.Act as a team-player providing back-up support for co-workers and actively supporting group goals.Exhibit sound judgment and the ability work effectively without constant or direct supervision or guidance.Education and Training Requirements :
Office Coordinator typically hold a high school diploma or higher with a degree and at least three years of qualifications in secretarial duties in an office setting being an advantage.Higher education is not required to complete standard job duties, but prefer a bachelor's degree in any relevant field, though disciplines in business, management, human resources or another related field are encouraged.Position : 10082005
