Operating from a beautiful headquarter office in Fort Worth with satellite offices in Weatherford and Mineral Wells, the firm maintains a low-volume, high-impact caseload to ensure personalized attention and exceptional results.
We're hiring an Office Manager to support daily operations and work hand-in-hand with Jason Stephens. You'll manage schedules, handle QuickBooks, support team needs, and ensure the firm runs like a well-oiled machine. The ideal candidate brings experience from a small firm or professional office setting, knows how to manage people and processes, and can keep things running without constant direction.
What You'll Do :
Office & Operational Oversight
- Oversee daily operations and ensure smooth office function for a team of ~10
- Coordinate vendors, tech tools, supply orders, and office maintenance
- Manage team calendars, meeting coordination, and internal communications
Team Leadership & Culture
Mentor and support cross-functional teams, including intake, pre-litigation, and paralegalsFacilitate weekly team check-ins and promote open communicationHelp plan lunches, celebrations, and ongoing team engagement initiativesSupport career growth and accountability in a collaborative office environmentFinancial Management & Reporting
Manage QuickBooks entries, invoicing, reimbursements, and expense reportsWork with the firm's CPA to oversee budgeting, forecasting, and financial reportingAssist in creating monthly financial dashboards to track settlements, revenue growth, and cost efficienciesClient Experience & KPI Oversight
Enhance client satisfaction by helping refine welcome packages and client journey touchpointsTrack KPIs like case cycle times, profitability %, and team productivitySupport initiatives like referral programs, review generation, and community outreachCross-Departmental Coordination & Special Projects
Coordinate all-hands meetings, marketing check-ins, and operational reviewsCollaborate with external vendors and partners on firm initiativesLead or support firm projects that boost efficiency and service deliveryWhat We're Looking For :
Professional Experience
35+ years of experience in office management or operations, ideally within legal or personal injury law; high-caliber OMs from other industries are welcome, as well.Proven P&L ownership and cross-functional leadership, with hands-on experience in HR, marketing, sales support, and client-facing operations.Technical & Strategic Acumen
Advanced proficiency with QuickBooks, CasePeer (or similar CRMs), Lead Docket (or similar Intake platforms), and modern AI toolsTrack record of implementing scalable SOPs, data-driven decision-making, and proactive problem-solving.Leadership & Communication
Exceptional ability to inspire, mentor, and hold teams accountable in a collaborative, boutique-firm environment.Excellent presentation and stakeholder-management skills, capable of translating complex strategies into clear action plans.Cultural Fit & Values Alignment
