CAS’s primary goal is to provide students with real world archaeological experience, and we accomplish this by obtaining grants and contracts. We currently have eight full-time and as many as 20 part-time employees in our San Marcos office. Additionally, we are growing our presence on military installations and have 24 full-time employees engaged in environmental compliance and natural and cultural resources investigations at military installations outside Texas.
As a research center, CAS engages in a variety of ventures that require business and entrepreneurial insight. We are seeking someone who can plug into our workflow and provide support to CAS’s leadership team and oversee pre and post award grant and contract administration for multiple, ongoing, concurrent, internal, and external research projects; be in charge of accounting, invoicing, purchasing and restocking; and facilitating hiring and onboarding staff into CAS or onto grant / contract positions. The Office Manager position provides support services, activities, and programs to enhance CAS’s success and oversight of our research projects and agenda. The position reports to CAS’s director and leadership team.
Job Duties
Provide pre-award support to Principal Investigators in research proposal development and submission and budget review.Provide post award fiscal oversight, review expenditures, reconcile accounts, research budgets, prepare financial reports, and conduct day-to-day accounting activities.Monitor post award activities to ensure compliance with allowable costs, cost transfers, budget adjustments, and reporting requirements. Identify, monitor, and resolve account issues.Initiate accounting transfers, costing allocations, and provide cost share information.Coordinate purchasing and contracting for accounts and ensure vendor payment.Invoice for curation services, update curation revenue spreadsheet when invoices are sent and payments are received and distribute costs for curation credit card payments.Initiate travel requests and process reimbursements for assigned faculty, students, and staff.Serve as liaison with the Division of Research.Provide guidance regarding grant administration policies and procedures and resolve related problems.Provide oversight of hiring functions for the department, including position request / salary review, posting / advertising, preparing hiring matrix, application review / scoring, background and reference checks and preparing hiring recommendations for Human Resources.Oversee Human Resources related matters including personnel change requests (PCRs), maintaining confidential personnel records, timekeeping, approve hourly payroll, and payroll.Complete new employee onboarding including I-9 verification, employment verification, background checks, and meet deadlines for timesheet submission if applicable.Advise Principal Investigators on financial and HR policy.Monitor p-card and fuel card purchases to ensure compliance with university rules and procedures.Ensure department vehicles are maintained and repaired.Submit department requests for building maintenance and repairs.
