Position Overview :
We are seeking a polished, personable, and highly organized Front Desk / Customer Service Representative to be the first point of contact at our MedSpa. This role is key to creating a welcoming and professional experience for our clients, managing front desk operations, and supporting the clinical and management teams with administrative tasks.
Key Responsibilities :
- Client Interaction & Experience
- Greet clients warmly, check them in and out for appointments
- Answer phone calls, emails, and text messages promptly and professionally
- Provide detailed information about services, memberships, and promotions
- Schedule, confirm, and manage appointments using Zenoti
- Handle client concerns or complaints with empathy and escalate as needed
- Administrative Support
- Maintain accurate client records and ensure consent forms are completed and uploaded
- Process payments, issue receipts, and reconcile daily transactions
- Assist with daily clinic opening and closing procedures
- Manage inventory for front desk supplies and retail products
- Sales & Upselling
- Promote and upsell treatments, retail products, and memberships
- Educate clients on post-treatment care and next steps
- Track client referrals, loyalty rewards, and promotional redemptions
- Cleanliness & Presentation
- Ensure the front desk and waiting area are clean, stocked, and visually appealing
- Adhere to sanitation protocols and support staff with cleanliness as needed
Qualifications :
High school diploma or equivalent; college education preferredPrior experience in a customer service or front desk role (MedSpa, spa, salon, or healthcare setting preferred)Strong interpersonal and communication skillsComfortable using scheduling and POS software; experience with Zenoti strongly preferredAbility to multitask and remain calm in a fast-paced environmentProfessional appearance and demeanorPassion for aesthetics and wellnessCompensation & Benefits :
