Primary duties of the Production Associate include :
Gift Fulfillment & Distribution Coordinator These full-time seasonal roles are responsible for managing the end-to-end physical gift fulfillment process—from receiving and sorting in-kind donations to packing and staging gift bags for distribution. They also serve as key frontline staff within the Family Center, regularly engaging with caseworkers, volunteers, and families to ensure a warm, organized, and supportive Holiday Wish experience. Coordinators process approved referrals using the Groundwork Civic System, maintain accurate inventory records, and support volunteers who assist with organizing, packing, and staging efforts. Coordinatores also oversee the checkout process for the family shopping experience, ensuring gift bags are verified, signed out, and that families receive proper documentation or receipts. Their presence on the gift floor helps create an environment of care, responsiveness, and holiday joy.
Key Responsibilities :
- Receive, label, and log all in-kind donations—including Amazon packages and other shipped items— using established intake procedures and tracking systems 2. Sort and shelve gifts by age group, gender, and category, maintaining a clear and orderly inventory system 3. Monitor inventory levels and communicate gaps or urgent needs to the Holiday Wish Supervisor 4. Fulfill caseworker referrals using approved entries in the Groundwork Civic System, ensuring accuracy and care in gift selection. PER-063 (12 / 17) 5. Welcome and assist caseworkers and agency staff visiting the Family Center for pickups or program coordination 6. Support families during their in-person shopping appointments, helping them navigate the gift floor and providing receipts as needed 7. Pack, label, and stage gift bags for regional delivery or in-person pickup. 8. Oversee the checkout process during family shopping appointments, verifying gift bags and providing receipts when needed 9. Track outgoing gift bags and maintain daily sign-outs, ensuring accuracy and security 10. Assist and direct volunteers working on the gift floor with sorting, staging, and packing tasks 11. Help maintain a safe, respectful, and welcoming environment within the Family Center. Given the fast-paced, team-oriented nature of the Holiday Wish program, ideal candidates should possess : 1. A positive, flexible attitude and strong interpersonal skills, especially when working with diverse populations including families, volunteers, and agency staff 2. A customer service mindset with the ability to remain calm, helpful, and solution-focused under pressure 3. Basic comfort with technology and digital systems : Microsoft 365 apps (Outlook, Teams, Excel, Word, Forms) ;SACWIS (Statewide Automated Child Welfare Information System); OnBase (document management); Groundwork Civic System (referral and volunteer tracking) and; SharePoint (internal communication and file sharing. 4. A willingness to adapt to new processes and support evolving program needs as they arise 5.
