About the Role :
A growing nonprofit organization is seeking a highly skilled and professional Executive Assistant to provide comprehensive support to senior leadership and the Board of Directors. This role requires someone who is organized, proactive, and able to manage multiple priorities while maintaining discretion and professionalism. The Executive Assistant will be a key liaison between leadership, the board, and internal teams, helping ensure smooth operations and effective communication across the organization.
Key Responsibilities :
- Provide high-level administrative support to the Executive Director and Chief Financial / Administrative Officer, including calendar management, correspondence, meeting preparation, and expense reports.
- Serve as the primary liaison for the Board of Directors, coordinating meetings, preparing materials, attending meetings, and recording minutes.
- Assist with executive and leadership team meetings, including agendas, meeting set-up, note-taking, and follow-up on action items.
- Support special projects as assigned by senior leadership, providing strategic and proactive solutions to challenges.
- Organize and maintain executive office records, files, and archives.
- Facilitate communication between executives, leadership teams, and external stakeholders, maintaining professionalism and discretion at all times.
- Maintain proficiency in software tools including Microsoft Office (Word, Excel, Outlook, PowerPoint), Teams, SharePoint, and Adobe for document and presentation preparation.
- Travel locally within Portland as needed.
Qualifications :
Bachelor's degree or equivalent experience.Minimum of 5 years' experience as an Executive or Administrative Assistant, preferably supporting senior leadership and / or a board of directors.Strong organizational, communication, and interpersonal skills, with the ability to manage multiple priorities under pressure.Demonstrated ability to exercise discretion and handle confidential matters.Proficiency with Microsoft Office, SharePoint, Adobe, and presentation creation.Bilingual Spanish / English skills preferred but not required.Ability to work collaboratively with internal teams while also functioning independently.Valid driver's license and access to a vehicle for local travel.What We Offer :
