Office Administrator

The ideal candidate will be self-motivated and be a good communicator, with strong attention to detail and a passion for organizing. This is an ON-SITE position.

Temporary to Hire OR Direct Hire consideration : Pay rate range $23-26 / hr, depending on experience. Will consider Full-Time 8 : 30 AM - 5 : 00 PM, with 1 / 2 hour lunch, M-F OR Part-time at Three (3) days a week, 8 hours each day (24 hours / week total) working on Monday, Wednesday, and Friday. Benefits include 401(k) Matching, Employee Discount, and Bonus. NOTE : Must possess a strong numbers sense. In this job role, will need to revise the invoice into a commercial invoice for import, which will require critical thinking to make the numbers / math work.

Essential Responsibilities will include but are not limited to :

Responsible for overseeing the day-to-day operations of the office, managing administrative tasks, and providing support to staff members. The ideal candidate will have excellent communication skills, strong problem-solving abilities, and the ability to multitask effectively.

Responsibilities will include but are not limited to :

  • Process incoming orders
  • Process purchase orders, sales orders and invoices
  • Prepare shipments for shipping carrier
  • Prepare importing documents
  • Manage office supplies inventory and place orders, as needed
  • Handle incoming and outgoing mail, emails, and phone calls
  • Assist with training development and implementation
  • Maintain and update files, records, and databases

Qualifications :

  • Min 2 years of proven experience in office administration or a related field
  • Basic understanding of different cultures is strongly desired (do not need to have bilingual skills)
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Knowledge of medical office management is a plus
  • Ability to handle confidential information with discretion
  • Demonstrated ability to work independently and as part of a team
  • Strong problem-solving skills and attention to detail
  • Experience and efficiency with QuickBooks is a plus
  • Compensation / Pay Rate (Up to) : $23.00 - $26.00 Per Hour
