General Summary :
We are seeking a professional, service-oriented Office Coordinator to join our team. This individual will play a key role in supporting the day-to-day operations of the office, ensuring a safe, clean, and productive environment for all staff. The ideal candidate will have strong communication skills, a customer-first mindset, and the ability to manage multiple responsibilities efficiently.
This is a part-time, onsite position working Tuesday through Thursday from : AM to : PM .
Key Responsibilities :
Facilities Operations & Support :
Serve as the primary point of contact for facilities-related inquiries and service requests
Manage tickets in the ServiceNow portal, ensuring timely resolution or escalation
Coordinate repairs and maintenance of office equipment, furniture, and space
Oversee seating arrangements, employee moves, and space planning
Partner with vendors, contractors, and building management for service coordination
Prepare and maintain weekly reports on project status, service issues, and resolutions
Ensure meeting rooms are configured daily and stocked with necessary supplies
Perform light custodial duties in common areas as needed
Reception & Office Support :
Greet and assist visitors, answer incoming calls, and manage messages
Sort, scan, and distribute incoming mail; coordinate outgoing mail
Assist with office reconfigurations and refresh projects
Monitor and support general office supply needs and usage
Provide day-to-day support to staff and collaborate across departments as needed
Safety & Emergency Preparedness :
Participate in organizing office safety drills and emergency procedures
Act as a liaison for emergency response coordination
Purchasing & Budget Tracking :
Manage department invoices, ensuring accuracy and timely processing
Order, receive, and track supplies and inventory
Maintain records of monthly purchases to ensure adherence to budget
Coordinate local vendor pickups as needed
Required Skills and Qualifications :
High school diploma or equivalent required; some college preferred
Minimum years of experience in a visible administrative or facilities-related role
Excellent verbal and written communication skills
Strong organizational, problem-solving, and time management abilities
Ability to work independently with minimal supervision
Proficient in Microsoft Office Suite (Word, Excel, Outlook); MS Teams experience a plus
Comfortable handling confidential information and interacting with all levels of staff
Detail-oriented and committed to delivering outstanding internal customer service
Ability to handle multiple tasks and deadlines in a fast-paced environment
