Patient Coordinator
Job Description :
The Patient Coordinator serves as the primary point of contact for all prospective patients engaging with St. Luke's Eye through digital campaigns, online forms, and inbound calls. This role owns the entire conversion process from the first inquiry through to scheduling, ensuring each patient receives a personalized, professional, and compassionate experience.
The Patient Coordinator plays a key role in supporting St. Luke's growth goals by increasing surgical consultation and scheduling rates while maintaining data accuracy and a concierge-level patient experience. This position bridges the gap between marketing, clinical operations, and care coordination teams to ensure a seamless patient journey.
Responsibilities :
Lead Management & Patient Conversion
- Manage and respond promptly to all inbound leads from online forms, marketing campaigns, and referral sources.
- Execute the full follow-up cycle including initial contact, multiple touchpoints, and final outcome documentation.
- Track and manage all prospective patient interactions in the CRM or lead management system.
- Prioritize and organize outreach efforts to minimize lead drop-off and maximize conversions to consultations and surgical bookings.
- Record and report patient communication outcomes in accordance with established KPIs and protocols.
Online Scheduling & Data Accuracy
Serve as the owner of online scheduling tools, ensuring all clinic and surgeon availability, templates, and settings are accurate and up to date.Audit and correct scheduling data regularly to eliminate booking errors and improve the overall patient experience.Validate and update patient demographic, insurance, and PHI data during scheduling to maintain data integrity.Ensure appointment confirmations and pre-visit communications are delivered accurately and on time.Concierge Patient Experience
Provide concierge-level service to all prospective patients, particularly for Reflections Surgical and Refractive Surgery inquiries.Guide patients through the decision-making process by clearly explaining next steps, financing options (including CareCredit), and procedural details using approved materials.Serve as a knowledgeable and empathetic resource for patient questions and concerns.Coordinate closely with surgical and care teams to facilitate a seamless transition from consultation to surgery.Collaboration & Support
Collaborate with Marketing, Care Coordination, and Surgical teams to maintain lead quality and optimize scheduling performance.Act as backup support for Care Coordinators when needed, assisting with scheduling and patient follow-ups.Participate actively in weekly or monthly team meetings to share insights on lead conversion, scheduling trends, and patient feedback.Contribute to the development and improvement of standard operating procedures (SOPs) for lead handling and scheduling.Company Mission
