We're looking for a friendly, detail-oriented, "I've got this!" kind of person join our team as a Compliance & Office Assistant
In this role, you will provide vital support for daily office operations—such as scheduling, organizing files, and maintaining office efficiency—while gradually building knowledge and skills in compliance and risk management.
This position is designed as a career growth opportunity , with a clear path to advance into a full-time Compliance Specialist role within 1–3 years. The ideal candidate brings prior experience in office administration, recordkeeping, or customer service, and / or has exposure to compliance related tasks such as handling confidential information or assisting with audits.
Key Responsibilities
Office Administration
- Assist with scheduling meetings, managing calendars, and coordinating team activities.
- Organize and maintain digital and physical files, including contracts, reports, and documentation.
- Help manage office supplies, vendor coordination, and general office upkeep.
- Support internal communication efforts and assist with preparing presentations or materials.
- Serve as a friendly point of contact for clients and partners, routing questions to the right team members.
Compliance & Documentation Support
Help maintain compliance records, templates, and tracking spreadsheets.Assist with gathering documentation for HIPAA, FTC Safeguards Rule, SEC requirements, and other standards (training provided).Support internal and external audits by organizing files and preparing requested information.Help update policies, procedures, and checklists as directed.Security Awareness & Phishing Programs
Assist in preparing and scheduling phishing simulations (no prior technical experience required).Help review phishing results and compile simple summaries or reports.Assist in distributing training materials and tracking completion.Risk Management Support
Help coordinate risk assessments and penetration testing activities by scheduling, tracking progress, running requested reports, and organizing related documentation.Assist with preparing client-friendly reports and summaries created by senior team members.Client Support
Join client calls to take notes, help prepare materials, and follow up on action items.Assist in onboarding tasks, such as gathering basic information and organizing documents.Support managers and compliance team with administrative tasks related to client projects.Team & Program Support
Participate in improving internal workflows, templates, and processes.Stay informed about basic compliance or cybersecurity topics as part of ongoing training.Collaborate with IT, leadership, and technical staff to help keep compliance initiatives moving forward.Qualifications
Required :
1–2 years of experience in office administration, customer service, or another detail-oriented support role.Strong organizational skills and the ability to manage multiple tasks at once.Comfortable working with digital tools such as email, spreadsheets, powerpoint / presentations, and document editors.Excellent written and verbal communication skills.Interest in learning about compliance, cybersecurity, and risk management.Ability to handle confidential information with professionalism and discretion.Preferred (but not required) :
Exposure to compliance, cybersecurity, recordkeeping, or audit-related work.Experience working in an IT, MSP, or professional services environment.Familiarity with tools like Excel, SharePoint, or other document management systems.Why Join Us?
