PROJECT COORDINATOR POSITION SUMMARY This full-time position is for a Project Coordinator in our East Lansing office. This position plays a critical role in assisting Project Managers with schedules and project tasks, report review and processing, preparing contract documents, and assisting with client management. JOB DESCRIPTION Spicer Group is looking for a qualified candidate that enjoys working with a team, is very organized, and has excellent communication skills. The Project Coordinator in this position will provide full-time assistance in an office setting, support project managers, and support staff in the Planning Group. This includes preparation of documents, scheduling and attendance at meetings, and other tasks necessary to keep projects and tasks moving forward. This is an in-person position. KEY RESPONSIBILITIES

  • Provides full-time assistance in an office setting, supporting project managers and support staff
  • Efficiently oversees daily departmental operations, including coordinating schedules, and organizing staff training sessions
  • Establishes and maintains project numbering, Vantagepoint entries, correspondence, and data files according to pre-established guidelines
  • Maintains a close and highly responsive relationship with the supervisor and staff
  • Demonstrates excellent organizational skills and attention to detail, managing tasks efficiently
  • Reviews materials prepared by group staff for proper language and grammar, and reviews for completeness and accuracy
  • Gathers information from various sources; internet research, county courthouses throughout the state, local governmental offices
  • Communicates directly with clients to schedule meetings and for document coordination
  • Prepares standard reports, meeting minutes, spreadsheets, and charts
  • Assists with digital preparation of technical specifications and bidding documents, online bidding process, and preparing contracts
  • Assists with hosting clients in the office and organizing staff events
  • Assists with conference registration for staff members, including travel arrangements
  • Maintains recurring internal reports, including staff corporate resumes
  • Uses MS Word, Excel, PowerPoint, SharePoint, and PDF programs with speed and accuracy
  • Provides basic technical support for office equipment and software applications used by staff
  • Required to exercise initiative, judgment, and knowledge of company practices, policies, and organization
  • Will require occasional travel throughout Michigan, including the flexibility to work out of our Saginaw Riverfront office as needed
  • Company floater vehicles will be available for business use

EDUCATION & EXPERIENCE REQUIREMENTS

  • Minimum 3+ years of clerical / administrative experience in a professional office or related setting or equivalent combination of higher education / experience
  • Proficient in all related administrative skills
  • Can demonstrate interpersonal, written, and organizational skills
  • Ability to work independently and under deadlines
