Summary : We are seeking a reliable and detail-oriented Executive Support & Operations Coordinator to assist our executive team and ensure smooth coordination of office functions and events. This role includes managing executive meeting logistics, travel arrangements, internal communications, and various operational tasks. The ideal candidate is highly organized, communicative, and adept at balancing multiple priorities in a fast-paced environment. Primary Responsibilities & Duties :
- Coordinate scheduling and logistics for executive meetings, including venue bookings and catering.
- Assist in planning and organizing company events such as annual sales meetings, trade shows, and employee gatherings.
- Manage travel arrangements for non-sales and executive staff, ensuring smooth itineraries and bookings.
- Support internal communications by preparing and distributing announcements and maintaining the company directory.
- Oversee office-related operations such as mailroom management, vending services, and access controls (FOBs).
- Coordinate corporate sponsorships and assist with special initiatives such as sports ticket distribution and charitable events.
- Liaise with vendors and internal teams to meet operational needs efficiently.
- Provide general administrative support to the executive and operations teams as needed.
Education and / or Experience :
High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.Minimum 2 years of experience in administrative support, office operations, event coordination, or related roles.Experience supporting executive-level staff and managing multiple projects simultaneously is a plus.Proficiency with Microsoft Office Suite (PowerPoint, Excel, Outlook, etc.) or similar tools is expected.Familiarity with travel booking platforms and vendor management systems is beneficial.The Required Skills We Are Looking For :
