Job Overview

We are seeking a highly organized and experienced professional to fill the role of Executive Assistant working primarily with the Chief Executive Officer. This individual will play a critical role in supporting the CEO and extended team, ensuring the efficient operation of the organization and the execution of key business practices, including information gathering, information organization, expense and budget reconciliation, and general accounting.

What You Get to Do

  • Executive Support : Provide comprehensive administrative support to the CEO, including organizing information, creating production schedules and decks, scheduling some meetings, assisting with email requests, communicating on his and the company’s behalf, and coordinating other key tasks as requested.
  • Accounting Support : Manage and coordinate client expenses, vendor invoices, and budgets; proficient in QuickBooks online.
  • Communication : Serve as a liaison between the CEO, other key leaders, and clients, maintaining open lines of communication and ensuring that all inquiries and requests are addressed promptly via the appropriate communication channels (phone vs. email often preferred).
  • Organization and Coordination : Ensure information coming in from varying resources is organized in a timely manner.
  • Project Management : Oversee and manage special projects from inception to completion, ensuring deadlines are met and objectives are achieved.
  • Confidentiality : Handle sensitive information with discretion and maintain confidentiality at all times.
  • Other Support : May assist with a wide range of other tasks, including but not limited to running small errands, ordering and picking up lunch for the team and Executive, assisting with other key appointments and correspondence.
  • Qualifications

  • Bachelor’s degree in Business Administration, Management, or related field (preferred).
  • Proven experience in a similar role, preferably in a fast-paced environment.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong communication and interpersonal skills, with the ability to interact effectively with individuals at all levels of the organization and outside of the organization.
  • Strong verbal comprehension skills required, with the ability to process and execute on detailed information delivered in spoken for, during meetings, calls or casual conversations.
  • Proficiency and experience in QuickBooks online.
  • Proficiency and experience in Adobe suite.
  • Proficiency in Mac products and other relevant software applications.
  • Ability to maintain a high level of professionalism and confidentiality.
  • Flexibility and adaptability to work in a dynamic and rapidly changing environment.
